Share your Company Policies with your employees

Get ready to simplify your policy management with Employment Hero's Policy feature. Store all your policies in one easily accessible location and embed them into your onboarding process to make things clear for new hires.

 

Plus, we'll send weekly email reminders to employees who have any outstanding documentation, so nothing falls through the cracks.

 

That's not all! Our feature includes a library of policies written by Employment Lawyers. You can use them, and our team will keep them up to date. Say goodbye to policy management headaches and enjoy peace of mind knowing that your policies are updated and readily available.

 

How to Prepare

  • Export any existing policies you wish to transfer to Employment Hero. Please only use the following file formats: .docx, .doc, .pdf, .png

Instructions

 

  1. From the dashboard, click Compliance.
  2. From the Compliance menu, click on Policy Management.
  3. Click on the Add new policy button.
  4. Select the required country from the Country filter.
  5. Click the Preview button.
  6. Click the Choose this Template button.
  7. Click the I Accept button.
  8. Edit the required customisable fields. The available customisable fields will be shown in purple text.
  9. Click the Save as Draft button.
  10. To make all employees acknowledge this policy, click the Is this Policy Mandatory tick box.
  11. Choose from the following sharing options:
    1. All employees
    2. All contractors
    3. Share with individuals that match:
      1. Team
      2. Location
      3. Employing entity
      4. Individual
  12. Click the Publish button.

 

Use your own policy PDF

  1. From the dashboard, click on the Compliance tab.
  2. From the Compliance menu, click on Policy Management.
  3. Click Upload Files.
  4. Click or drag the required file onto the Upload tile and click Upload.
  5. Toggle Mandatory on if you would like this policy to be mandatory for all staff. 
  6. Add more policies or Save all to continue. 
 

Sharing a Policy with your Employees

  1. In Policy Management, select actions on the relevant policy.
  2. Click Share
  3. Choose if you would like this policy to remain mandatory. 
  4. If this policy is only relevant to be shared with specific individuals, deselect All Employees and All Contractors. 
  5. Choose specific teams, locations, entities or individuals that should be assigned this policy. 
  6. Once you have customised your settings, select Publish

Tip
 

When you select publish, the selected employees will receive an email notification alerting them to this policy. This email will not generate if you are in Setup Mode.

 

Next Steps

When your employees log in for the first time, they'll be prompted to read and acknowledge any policies you've shared with them. It's a quick and easy process that ensures everyone is on the same page and up to date with your policies.
 

But what about employees who have already read and acknowledged your policies‌? Make sure to let your employees know that this is a perfect opportunity for a refresh. Encourage them to log in to Employment Hero, read through the policies, and acknowledge them again. It's a great way to make sure everyone is up to date and compliant with your policies. Plus, with Employment Hero, you can easily track who has read and acknowledged your policies, making it a breeze to stay on top of compliance.
