Migrating HR documents from an old system to a new one can be a daunting task. However, it is crucial to have all important documents in one central location to ensure compliance with regulations and simplify the HR process. Employment Hero offers an easy solution for storing and accessing key HR documents. In this guide, we will outline the steps to migrate your HR documents to Employment Hero and ensure a smooth transition.
How to Prepare
- Ensure you have access to any of the previously signed documents that you’re hoping to transfer to Employment Hero.

Instructions
- Select People.
- Then, select Employee List.
- Select the relevant employee.
- Click on Uploaded Documents.
- Select Upload Document.
- Upload the relevant file from your computer or using a URL link.
- Choose from a selection of tags or create your own to identify the document easily in the future.
- Choose who can see this document (the employees themselves, the direct managers, and/or the indirect managers).
- Select if this is a payroll or non-payroll related document.
- Once done, the uploaded document will be saved in the employee's file, where it can be edited or deleted if needed.
Next Steps
After uploading a document to an employee's file, they will receive an email notification that the document is accessible on Employment Hero (provided you do not have setup mode switched on). Please note that this notification will only be sent for HR Documents. Uploaded Documents will not send a notification to the employee. No action is required from the employee, as the document is likely a historical one that has already been signed or acknowledged.
For any new documents that need to be issued, you can use the HR Documents tab, which allows employees to sign or acknowledge the document. This will ensure all necessary documents are signed and up-to-date in your HR platform.
