We have introduced a new suite of configurations for Salaried Employment Agreements to allow the employers to manage the salaried employees, who are under Individual flexibility arrangements, directly within the award instead of having to remove them.

This introduction, which is an enhancement rather than a legislative update requirement, includes the items below if they do not already exist within an award:

  • Pay Categories (Salary and Salary - Public Holiday Not Worked).
  • Leave Allowance Templates for “No loading” and “With loading”.
  • Rule Set to disregard timesheets.
  • Pay Rate Templates.
  • Employment Agreements for all employee types (full-time, part-time, and casual).

We have updated the award to ensure that adult trainee apprentices and adult apprentices who are paid the national minimum wage receive a weekly tool allowance, rather than an hourly allowance, in line with the latest pay guide.

  • Adult trainee apprentices and adult apprentices who are paid the national minimum wage should use the “Tool Allowance” tag if they are required to use their own tools in performing their duties.

We have also removed the “21.8 Tool allowance – apprentice” rule from the Casual rule set.

We have updated the base rate and Plumbing Trade Allowance for the following classification due to recent changes to the Plumbing and Fire Sprinklers Award 2020 [MA000036], as reflected in the Fair Work Pay and Conditions Tool (PACT):

  • Adult Apprentice – Plumbing and Mechanical Services – 4th Year.
  • Adult Trainee Apprentice - Plumbing and mechanical services - 4th yr
We have also applied the appropriate rate for the following allowances:
  • Fire sprinkler fitting trade allowance - classifications below Sprinkler fitting tradesperson level 1
  • Sprinkler fitters adjustment allowance For Casual - Fire technician level 1(d) (fulfillment of requirements) and Permanent - Fire technician level 1(d) (fulfillment of requirements)
  • Travel time allowance within/beyond 50km radius
  • Travel time allowance when living offsite - within/beyond 50km radius

We have updated the award to reflect the Fair Work Commission's National Minimum Wage increase detailed in the Annual Wage Review 2024-25 decision and also includes updates to expense-related allowances. You can find more information on the Determinations here and here

These changes come into effect from the first full pay period on or after the 1st July 2025. Please install these updates after you have finalised your last pay run before the first full pay period beginning on or after the 1st July 2025.

Special Notes

  • The timesheet should have start and end times for the rules to apply correctly.
  • Leaves should be converted into a timesheet with the standard hours of work.
  • As fumes allowance is paid based on agreed rate, the rules and rates need to be updated where necessary.
  • Hot work allowance work type should not be used for the period of 20-minute breaks.
  • No meal break work type needs to be only used for the period of time where employee has not taken a meal break.
  • For employees with extra annual leave per clause 24.2 - employees need to be assigned to leave allowance template with 5 weeks annual leave.
  • The base rate for the following classification levels may not match the rate indicated on the pay guide due to the way individual components making up the all-purpose inclusive minimum rate are calculated. Please review and make manual adjustments where required.

  • The rate of pay for an adult apprentice must be no less than the higher of the following two amounts:
    • The federal minimum wage plus the full Industry Allowance as outlined in clause 21.3(a), or
    • The apprentice wage specified in clause 18.2.

For the levels listed below, use tag “Adult apprentice - only industry allowance apply”, as this results in a higher pay rate than that provided under clause 18.2 results in a higher pay rate than that provided under clause 18.2.

Shift conditions

Shift Conditions are another type of work type that allows employees to select multiple work types for a single day or timesheet. You can add a Shift Condition when editing a timesheet by clicking the "Add shift condition" link. Below is a list of available Shift Conditions and their meanings:

Bitumen work Select this shift condition when an employee is working with hot bitumen, asphalt, or dipping materials in creosote.
Cold work Select this shift condition when an employee is working in a place where the temperature is lowered by artificial means to less than 0°Celsius.
Cutting tiles Select this shift condition when an employee is cutting tiles.
Engaged in acid plants and chemicals works Select this shift condition when an employee is engaged in work carried out on a production plant in chemical works or acid plants or acid furnaces, stills or towers which have been commissioned.
Engaged in aluminum foil insulation Select this shift condition when an employee is required to work on the fixing of aluminum foil insulation roofs or walls prior to the sheeting thereof.
Engaged in asbestos eradication Select this shift condition when an employee is engaged in work involving the removal or any other method of neutralisation of any material which consists of or contains asbestos.
Engaged in lead burning or lead work Select this shift condition when a plumbing and mechanical services employee is engaged in lead burning or related lead work.
Engaged in ship work Select this shift condition when an employee is engaged in ship-related work.
Fares allowance Select this shift condition to claim the fares allowance as per clause 21.9(a).
First aid allowance Select this shift condition when an employee is appointed to carry out first aid duties.

Handling insulating materials Select this shift condition when an employee is handling charcoal, pumice, granulated cork, silicate of cotton, insulwool, slag wool, limpet fibre, vermiculite or other recognised insulating materials of a like nature, associated with similar disabilities in its use.

System limitations

Please note that rules will not be able to interpret or calculate the below clauses due to system limitations and will require manual intervention.

Clause 16.1 Breaks

An employee will be entitled to an unpaid meal break of at least 30 minutes between noon and 1.00 pm.

  • Breaks at specific start times require manual entry.
Clause 23.1 Shiftwork

When travel time is continuous with work hours at the end of a shift, the system calculates the shift end time based on the travel period. For example, if the shift ends at 6 AM and travel time is from 6-7 AM, the system treats the entire period as ordinary hours, as shift penalties only apply until 6 AM.

  •  
    • Ensure that travel time is at least 31 minutes apart from work hours for the system to recognize it as a separate shift.
Clause 17 Service work - subsequent recall

If the break between two subsequent recalls is 30 minutes or less, minimum engagement for each recall must be applied manually.

Clause 21.3a Industry Allowance

To prevent underpayment, the system will always top up the industry allowance to meet the minimum engagement level. It automatically applies the minimum industry allowance required for each shift. If a workday includes multiple broken shifts, there may be an excess allowance applied. In these instances, the payroll administrators will need to manually adjust the pay run to remove any over-applied allowance.

Clause 21.3h Leading Hands

% of the minimum rate of the highest classification supervised, or the employee’s own rate, whichever is higher.

  • System cannot pay whichever is greater and requires manual intervention to select the correct higher rate of pay. 
Clause 21.5 d Service core allowance and 21.6n Towers allowance

Service core allowance more than 15m and towers allowance is paid only for the initial 15m, not for each extra 15m. Manual intervention is required for any further height increases beyond 15m.

Clause 21.6j Hospital and morgues allowance

If a workday includes multiple broken shifts, each less than 7.5 hours, there may be an excess allowance applied. In these instances, the payroll administrators will need to manually adjust the payrun to remove any over-applied allowance.

Clause 21.6m Service shafts allowance - more than 8 hours

In addition to the amounts prescribed above in this table, where the aggregate of time spent in a service shaft on any day including a Saturday or Sunday exceeds 8 hours, such employees must be paid for each whole hour so worked.

  • Since this allowance is intended to apply only to whole hours, the system may over-apply it by including partial hours in the calculation. Payroll administrators must manually review and adjust the pay run to remove any excess allowance resulting from these partial hours. (e.g. 1.5 hours should be 1 hour only)
Clause 21.8b Meal allowance overtime subsequent 4 hours

Meal allowance is paid only once after completing an additional 4 hours, not for every 4-hour period.

Clause 21.9(d) Travel time allowance / Travel time allowance when living offsite - beyond 50km radius

25% of the minimum hourly rate (excluding any relevant all purpose allowances) per day or the minimum hourly rate (excluding any relevant all purpose allowances) per hour for the time actually spent travelling outside of the 50km radius to and from the job site, whichever is greater.

  • System cannot pay whichever is greater and requires manual intervention to select the correct higher rate of pay. 
Clause 21.11(d) Capping of lost time for inclement weather

Entitled to payment by their employer for ordinary time lost through inclement weather for up to, but not more than 32 hours in every period of 4 weeks.

  • Cannot cap entitlement for inclement weather.
Clause 22.6 Time off instead of payment for overtime
  • (f) If the employee requests at any time, to be paid for overtime covered by an agreement under clause 22.6 but not taken as time off, the employer must pay the employee for the overtime, in the next pay period following the request, at the overtime rate applicable to the overtime when worked.
  • (g) If time off for overtime that has been worked is not taken within the period of 6 months mentioned in clause 22.6(e), the employer must pay the employee for the overtime, in the next pay period following those 6 months, at the overtime rate applicable to the overtime when worked.
