Workflows Revamp - Leave Approval Wizard (Basic Workflows View)

Release Date: 14/07/2025

Target Users: Global workflow users, including Classic Plans

Description: Small business owners and HR admins find the current node-based workflow editor too complex and technical, leading to confusion, misconfigured leave workflows, and high abandonment rates.
Without an easy way to automate approvals, users resort to manual processes that are time-consuming and error-prone, increasing the risk of lost leave requests, payroll mistakes, and compliance issues.

Product features: 

  • Guided Trigger → Condition → Action builder to simplify workflow creation for non-technical users. 
  • Support for key leave triggers, detailed conditions, and multiple actions like approvals, auto-approve/decline, emails, and tasks.
  • Built-in AND/OR logic, with consistent behaviour for combining conditions.
  • Inline descriptions, tooltips, and helper text for every step, field, and option to aid user understanding.
  • Ability to save drafts, publish workflows, or cancel setup anytime.
  • Full workflow management: view, edit, duplicate, deactivate, and delete existing flows.
  • Toggle between Basic and Advanced views, with automatic syncing unless workflow complexity exceeds Basic limits.

Team > Groups (Open Beta Release)

Description: This is a follow-up to the Closed Beta release for Teams > Groups. This release primarily addressed some issues identified during the closed beta release (for example, spots in the platform we missed making the terminology change.

Configure Employee File Notifications in Notification Settings

Objective: Allow Admins to customise if they want to receive emails for employee Address and Name changes

Description: Admins previously had no way to opt out of receiving emails about employee Address or Name changes. Now, they have the option to enable or disable these notifications, which have been turned off by default. To receive these notifications, Admins can go to Settings > Notification Settings and toggle Employee File Change – Address Change or Employee File Change – Name Change to "Yes."

Release Schedule: 14 July 2025 for new organisations. This will be rolled out to existing organisations on 15 July 2025.

Improve the CSV Export Experience when Downloading Reports from HR

Description: Enhance the CSV report download process to improve user experience and reliability. Address the current issue where customers are unable to download large reports by implementing progressive downloading with visible percentage completion updates. This allows users to track download progress in real-time. Additionally, the system will persist the download state, so if a user refreshes the page or closes the report, the download can resume from where it left off. The last downloaded file will also be remembered, enabling users to quickly re-download the report without needing to reprocess it.

Swag Spend Account Statements

Objective: To allow users to generate and download their own monthly statements for their Swag Spend Account

Description: Swag Spend Account users are unable to generate and download statements from the Employment Hero Work App. Currently, they must contact our support team to have a statement manually generated and sent to them. The solution is to introduce in-app statement generation and download support within the EH Work App. The experience will be streamlined and mobile-optimised, giving users immediate access to their transaction history in a shareable PDF format that can also be downloaded

ITOps and Security

Recovery Code on Payroll

Description: As we have removed email as an option to receive 2FA codes, there is a higher chance users will get stuck at the 2FA verification step for various reasons. To assist with this we have introduced Recovery Codes on payroll, aligning with HR. Users who enable 2FA from now on will be presented with a Recovery Code. They will be able to download, print and copy the code. Any time they are required to verify their 2FA, they will be able to use the recovery code in place of codes from their authentication app or mobile SMS. Once a recovery code has been used, a new one will be generated.

CSS for Locations

Description: Provide organisations with more flexibility in permissions structure by allowing them to restrict security groups to only accessing employees in specified Locations. The goal of is to empower larger customers for their specific organisation permission needs, address common feature requests, and reduce support tickets and effort from internal staff using workaround methods.

Release Date: 14 July 2025

Target Users: Admins/Owners of organisations using Platinum, Employment Plus, or Employment Unlimited

 

Consolidate user account security settings on Payroll
Description: Minor updates: The old 2FA page has been removed. 2FA settings is now managed through the new Security page only The banner on the My Account Details page informing users of the password and API Key move has been removed.

Return to Work Process Improvements

Description: Currently, the Return to Work (RTW) process presents several challenges that hinder efficiency, transparency and administrative control. This work includes several different features that aim to solve these issues:

  1. Proxy submission - currently only primary managers can complete RTW forms however with this release forms can also be completed by other reviewers: all admins, secondary managers and indirect managers. To ensure form integrity, the form will be locked to the first reviewer who saves an answer but forms can still be viewed by other reviewers.
  2. Assigned reviewer - currently all form notifications are sent to primary manager and with this release orgs can control who they want the notifications to go to between primary managers or an active admin user.
  3. Mark form as not required: we will allow reviewers to mark RTW forms as not required.
  4. Declaration confirmation modal - when users submit their declaration we will now display a confirmation modal with further info regarding this action.
  5. Form unlocking - we will allow users to unlock forms if they need to update the form with further info which will remove previously captured declarations.
  6. Change History - we have introduced a change history and comments section within RTW forms to capture user actions relating to the form to ensure form integrity and compliance. This replaces the current Shared Notes section.

Limitations: the Shared Notes section will only be replaced for new forms created after this release. For existing forms, any actions relating to the features above will be captured in SAP audit.

Custom Report Enhancements

Target Users: UK payroll users

Description: We've enhanced our custom reports feature to streamline the reporting process. While custom reports is a popular tool, we understand that compiling them can be time-consuming. We've updated the user interface to make it easier to view, search for, select, and remove data fields. Additionally, we've expanded the available fields for reporting, which should address many user requests for specific reports.
