Generate a Workplace Gender Equality (WGEA) report

Available for the following HR classic plans: Platinum

Available for the following User Access levels: Admin, Owner, or users with "Reports (People Reports)" permission    

Australian organisations with 100 or more employees are legally required to submit annual reports to the Workplace Gender Equality Agency (WGEA). The Workplace Gender Equality (WGEA) report provides a standardised, WGEA-aligned way to generate a point-in-time workforce snapshot directly from the platform, eliminating the need to manually stitch together multiple reports and audit data.

This allows you to:

  • Configure your organisation's WGEA reporting settings.
  • Update WGEA-specific data for individual employees or in bulk.
  • Generate and export a WGEA-aligned Workplace profile report.

Important

This report specifically generates the point-in-time snapshot (workplace profile). Workforce management statistics (12-month movements) and WGEA questionnaires are currently unable to be generated in Employment Hero.

Run a WGEA report


 

Promotions & Promotions to Manager report
  1. Log in to Employment Hero.
  2. On the left panel, go to the Reports tab.
  3. Click on the People tab.
  4. Click on the Promotions and Appointments report. 
  5. Click on Filters and select the following:
    • Date range
    • Location
    • Entity
    • Groups
    • Gender
    • Employment type
    • Contract type
    • Reason for change
  6. Here you will see your results. To download these results to prepare your submission for the WGEA, click on the page icon in the top right-hand side of the screen to as a CSV file or a PDF file.
Internal vs External Appointments report
  1. Log in to Employment Hero.
  2. On the left panel, go to the Reports tab.
  3. Click on the People tab.
  4. Click on the Promotions and Appointments report. 
  5. Click on Filters and select the following:
    • Date range

Populate workplace profile fields

Update WGEA fields for an employee

You can record specific WGEA requirements within an individual's employment history to ensure your report is accurate. Guidance and tooltips are aligned to official WGEA definitions.

  1. Log in to Employment Hero.
  2. On the left panel, go to the People tab.
  3. In the People tab, select Employee list and select an employee.
  4. On the employee's profile, go to their Employment History tab. Here you can see their WGEA reporting information.

  5. Click the three dots and Edit (pencil) icon.

  6. On the pop-up at the right, enter the relevant details:
    • Occupational category (OSCA): Provide the employee's occupational category using the OSCA (Occupation Standard Classification Australia) standard. This field was previously labelled "ANZSCO"[cite: 42, 53]. You can select a code from the dropdown or type a custom OSCA code if it is not in the standard list[cite: 57, 58].
    • Occupational category (ANZSCO): Provide the employee's occupational category using the ANZSCO standard. If this field is filled, it will take priority over OSCA during the WGEA Workplace Profile export.
    • Manager Category: This field is only exposed when a manager category (any ANZSCO or OSCA code starting with "1", ignoring leading zeros) is selected.
    • Graduate/apprentice status: Indicate if part of a formal program.
    • Primary work location postcode: Enter the four-digit postcode where the employee performs the majority of their work.

  7. Click Save.
Bulk update WGEA data via CSV

Administrators and Owners can use the People → Import Employees flow to populate fields for the entire workforce at once.

  1. Log in to Employment Hero.
  2. On the left panel, click the People tab and select Import Employees.
  3. Select the CSV template labeled Update Workplace Profile (WGEA) and download it. This template includes columns for OSCA and ANZSCO categories.

  4. In the downloaded file, populate missing fields in bulk, which can include data from prior-year WGEA submissions.

  5. Re-upload the CSV using the standard import experience.

  6. Review validation, select the acknowledgement checkbox, and click Confirm and import.

Important

Bulk imports only update current active Employment History records. Historical records are protected and will not be modified. Blank cells in your CSV will not overwrite existing data in the system.

View & Export WGEA workforce data

Generate the Workplace Profile (Snapshot) report

The report generates a tabular view with one row per employee, captured as a consistent snapshot at the time of generation.

  1. Log in to Employment Hero
  2. On the left panel, click Reports and scroll down to Workplace Profile (WGEA).
  3. Click View full report. The report display includes separate columns for OSCA and ANZSCO occupational categories. A one-time informational banner will appear the first time you visit this report to explain the OSCA label change and 2026 export conversion logic[cite: 44, 53].

  4. Click the Export to CSV button.
  5. Tick yes to the disclaimer and select Confirm.
  6. On the Download report pop-up, click the file to download it.

Further information

How is the Manager Category field managed?
The field can be edited via the user interface but is only exposed when a manager occupational category is selected. Manager categories are identified by an ANZSCO or OSCA code starting with the number "1" (ignoring leading zeros).
How are occupational categories converted on export?
WGEA requires ANZSCO codes for 2026 lodgements[cite: 41]. If an ANZSCO code is available, it is used directly in the export. If only an OSCA code is available, the platform automatically converts it to its corresponding ANZSCO-compatible major group (e.g., "1234 - Manager" becomes "0001") to ensure validity for 2026 reporting[cite: 44, 54]. Descriptions are excluded on export; only the integer code (e.g., "0001") is provided[cite: 50, 52].
Postcode requirements for remote workers
Do not use an employee's home address. For remote workers, enter the postcode of the local office or head office they report into. For employees at multiple sites, use the postcode of the location where they spend the most time.
How is Base Salary and Total Remuneration calculated?
  • Base Salary: Salary before tax, including salary-sacrificed items but excluding superannuation and bonuses.
  • Total Remuneration: Base salary plus all bonuses, allowances, superannuation, and additional benefits.

Both fields are automatically annualised and converted to full-time equivalent (FTE) amounts.

Who is responsible for the final submission?
Employment Hero prepares the data snapshot, but you are legally responsible for reviewing, validating, and submitting the final report via the official WGEA portal.
