Employment Hero is introducing updates to modernize the user experience, strengthen payroll compliance for UK organizations, and provide granular access to sensitive information. These changes focus on eliminating core workflow friction for HR Advisory Partners and administrators, reducing avoidable rework and protecting sensitive employee data.

These platform updates are focused on four primary areas to help you manage your organisation more efficiently:

  • Template Management: Access new organization-level toggles to control the visibility of default templates and use improved filters to declutter your library.
  • Onboarding Compliance: Protect your organisation from HMRC compliance errors by moving the responsibility for selecting tax categories from the employee to the administrator.
  • Work Eligibility: Expand role-appropriate access to Right to Work (RTW) data without requiring full administrative rights.
  • 1:1 Reporting: Modernise reporting permissions to align with least-privilege principles, ensuring sensitive conversation notes are only visible based on a user's specific access scope.

Manage your platform configuration

Control template visibility and library preferences

Administrators and HR Advisory Partners can now manage how Employment Hero (EH) standard templates appear in the library. This ensures that bespoke or branded content remains the primary focus while removing clutter for clients and team members.

  • Hide default templates: Use the organization-level toggles to hide EH default templates entirely or restrict their visibility to admins only. When disabled, these templates are hidden from the Template Management library, Policy Management, and the "Issue HR Docs" flow within the Employee File.
  • Organise the library: Disabled templates are now hidden by default in the "My Templates" tab. You can also star or favourite specific templates to ensure they appear first during selection flows.
Configure National Insurance and onboarding data

To prevent payroll adjustments and ensure HMRC compliance, the selection of critical tax data has shifted from employee self-service to administrative configuration. This removes the risk of employees guessing incorrect categories and causing rework for payroll teams.

  1. Navigate to Pay Details: During the admin onboarding flow, proceed to the Pay Details page.
  2. Assign NI Category: Select the appropriate mandatory category from the dropdown menu.
  3. Verify Director status: Mark the employee as a Company Director if applicable.

Use the direct hyperlinks to official HMRC guidance provided under the "NI Category *" field header to ensure correct selection. For employees over the State Pension age (currently 66), the system will suggest Category C.

Assign granular security and reporting permissions

You can now grant role-specific access to sensitive modules without delegating full admin control, reducing operational bottlenecks for People Ops and compliance teams.

  • Work Eligibility: Navigate to Employee File permissions (non-payroll) to assign specific "Work Eligibility" capabilities. Assign View to see documents, Modify to update details, or Use to initiate Zinc RTW checks.
  • 1:1 Report Scopes: Assign the "1:1 Report" permission under the "Reports (Development Reports)" module. This dynamically filters report data based on the user's assigned scope, such as their reporting line, group, or location.

Full, organization-wide visibility for 1:1 reporting remains reserved for those with the "1:1 Management" admin permission to ensure least-privilege compliance.
