Large organisations often have complex internal approval processes requiring sign off from multiple stakeholders such as HR Admins, CFOs, CEOs, or Hiring Managers before a contract is sent to a new employee. By configuring multiple sending signatories, you can facilitate these requirements and ensure all necessary parties have reviewed and authorised documents sequentially within the platform.

This feature allows you to move away from manual, paper-based signature processes by digitising the workflow. You can establish specific signing orders to ensure compliance and maintain a clear audit trail.

Configure and oversee multiple sending signatories

Add multiple sending signatories to your organisation

Setting up multiple signatories allows internal stakeholders to sign off on a document sequentially before it is issued to an employee.

When creating a template

  • When the selected signature flow involves a sender, you can select how many signatories should be assigned.
  • The available variables related to the signatories will be determined based on the number of signatories selected.

When issuing a document

  • During the Review Document step, the Finalise section will require you to provide the relevant number of signatories.
  • Signatories are required to sign in the specific order they were selected.
  • The authorising signatory and sending authority logic remains intact but applies only to the Primary Sending Signatory selection.
Assign signatories across multiple business entities

If your organisation has multiple employing entities or operates across different regions, you can assign specific authorising signatories to each entity.

  • This ensures that contracts and major decisions are always signed off by the correct authorised personnel assigned to that specific business unit.
  • Different regions can maintain their own specific authorising signatories even within a single global organisation.
Monitor signatory status and automated reminders

The platform provides tools to track the progress of multi-signatory workflows and ensure documents are processed efficiently.

  • Status tracking: Use the expanded document view to see a table showing the current status of all assigned signatories.
  • Automated reminders: HR document reminders will automatically trigger for the specific assignee currently required to sign in the chain.
  • Audit trail: The system generates a new audit event whenever a document is issued to an employee.
