Large organisations often have complex internal approval processes requiring sign off from multiple stakeholders such as HR Admins, CFOs, CEOs, or Hiring Managers before a contract is sent to a new employee. By configuring multiple authorising signatories, you can facilitate these requirements and ensure all necessary parties have reviewed and authorised documents within the platform.
This feature allows you to move away from manual, paper based dual signature processes by digitising the workflow. You can establish specific signing orders and assign different signatories to different legal entities within your organisation to ensure compliance and maintain a clear audit trail.
Configure & oversee multiple authorising signatories
Setting up additional signatories allows other staff members to send documents on their behalf, with the signature auto populating as needed.
- Navigate to the General Settings section within the platform.
- Locate the Authorising Signatories tab.

Click Add Signatory to include a new person.
- Enter the required details for each signatory.
- Save your changes to ensure the new signatories are available for document workflows.
If your organisation has multiple employing entities or operates across different regions, you can assign specific authorising signatories to each entity.
- This ensures that contracts and major decisions are always signed off by the correct authorized personnel assigned to that specific business unit.
- Different regions can maintain their own specific authorising signatories even within a single global organisation.
You can customize the order in which documents are signed to match your internal policies, which is particularly useful for Workplace Health and Safety (WHS) processes.
Sequential signing
- Configure the logic so the document is sent to one party first, such as the employee.
- Once the first party has signed, the system automatically forwards it to the next signatory, such as a General Manager, for final sign off.
Simultaneous signing
- For documents requiring multiple internal signatures that are not mutually exclusive, you can set the workflow to send the document to all signatories at once.
