This feature is for users who signed up to Employment Hero in mid-December, 2025. If you signed up for Employment Hero before then, you will not have access to this feature.

Large organisations often have complex internal approval processes requiring sign off from multiple stakeholders such as HR Admins, CFOs, CEOs, or Hiring Managers before a contract is sent to a new employee. By configuring multiple sending signatories, you can facilitate these requirements and ensure all necessary internal parties have reviewed and authorised documents sequentially before they reach the employee.

This feature digitises the internal sign off workflow, establishing specific signing orders to ensure compliance and maintain a clear audit trail.

Configure and issue documents with multiple signatories

Set the number of signatories in a document template

When using the New Document Template Editor, you can define how many internal stakeholders must sign the document before it is issued to an employee.

  • Select signature flow: When creating or editing a template with a flow that involves a "sender," you can now select the specific number of signatories required.
  • Variable determination: The system will automatically provide the relevant document variables based on the number of signatories you have selected for the template.
Assign signatories when issuing a document

When you are ready to issue a contract or document based on a multi-signatory template, you must assign the specific individuals to the signing chain.

  • Finalise step: During the Review Document step, the Finalise section will prompt you to provide the specific individuals for the number of signatories required by the template.
  • Signing order: Signatories are required to sign the document sequentially, following the exact order in which they were selected during this step.
Monitor signatory status and automated reminders

The platform provides visibility into where a document is in the signing chain to ensure efficient processing.

  • Status tracking: Within the expanded document view, you will find a table detailing the current signing status of every assigned internal stakeholder.
  • Automated reminders: HR document reminders will automatically trigger specifically for the person currently required to sign next in the sequence.
  • Audit trail: The system generates a new audit event whenever a document is issued to an employee.
