Manage the Hero Time Clock (HTC) facial recognition feature

Available for the following plans: Lite, Plus, Unlimited, or any plan with Time & Attendance Add-on
Available for the following user access levels: Admin, Manager with worksite permissions

Facial recognition for the Hero Time Clock (HTC) provides a hands-free clock-in and clock-out experience. This feature reduces the time spent at the kiosk to under five seconds by identifying employees through the camera and automatically filling in their details. By removing the need for manual PIN entry, you can ensure a faster transition for your team during peak traffic times.

Employees can enrol their face in one of two ways: directly at the kiosk when clocking in with their PIN, or in advance through the EH Work app. Once facial recognition is enabled, employees are automatically invited by email to enrol, and admins can track who has enrolled and send reminders from the kiosk settings.

Your organisation must be using the work sites and positions time and attendance version to access the Hero Time Clock.

This article shows you how to manage the following:

Enable facial recognition for your organisation

Configure facial recognition settings
  1. Log in to the Web Portal.
  2. Navigate to Kiosk (Hero Time Clock) Settings.

  3. Switch the Facial Recognition toggle to ON.
  4. Select a specific kiosk to override settings if you need to disable the feature for a specific location, such as one with poor lighting.
  5. Click Save.

Helpful Hint

Once enabled globally, kiosks will sync automatically. Kiosks with facial recognition active will switch from the standard list view to a live camera view.

Enrol your face at the kiosk

Enrol on the spot when clocking in with your PIN

You no longer need to set up facial recognition in advance through the app. If facial recognition is enabled on your kiosk, you can enrol your face directly at the kiosk the next time you clock in with your PIN.

  1. At the kiosk, select your name from the list (tap Find my Card if you need to search for it).
  2. Confirm your work site and position if prompted, then enter your PIN as usual. A photo is taken for audit after you enter your PIN.
  3. After your PIN is entered, the kiosk captures your photo and asks Use this photo for facial recognition?
  4. Review the privacy information, which confirms your facial data is encrypted, stored securely, and used only for workplace time clock verification.
  5. Select both consent checkboxes to activate the Yes, enable it button: I consent to use this photo to enable facial recognition for time clock purposes, and I understand my facial data will be stored securely and used only for workplace verification.
  6. Tap Yes, enable it to finish enrolling.

Helpful Hint

Enrolment is optional. If you would rather not enrol, tap No thanks and continue clocking in with your PIN as normal. You can enrol later at the kiosk or through the EH Work app at any time.

Enrol your face via the EH Work app

Register your biometric data on your mobile device

Prefer to set up before you arrive at the kiosk? You can still enrol your face in advance through the EH Work app.

  1. Open the EH Work App on your mobile device.
  2. Tap the notification to Setup Face ID for Kiosks.
  3. Review the privacy consent and agree to the use of biometric data.
  4. Follow the instructions to take a clear photo of your face using the app's camera interface.

  5. Wait for the server to verify image quality and liveness.
  6. Once validated, you will receive a confirmation message that you are all set to use Face ID at work.

Track enrolment and send reminders

Automated enrolment emails

Employees automatically receive an email invitation to enrol their face when facial recognition becomes available on a kiosk they have access to. No manual action is required to send it. The invitation is triggered when:

  • an employee is first granted Hero Time Clock access while facial recognition is already enabled, or
  • facial recognition is turned on for a kiosk the employee already uses.
See who has enrolled

When facial recognition is enabled for a kiosk, you can check enrolment status from the kiosk settings.

  1. Log in to the Web Portal, then click the Settings menu.
  2. Click Kiosk (Hero Time Clock) Settings, under Time and Attendance.
  3. Open the relevant kiosk and go to Employee access tab.
  4. Review the list of employees to see who has enrolled their face and the date they enrolled.
Send a reminder email

For employees who have not enrolled yet, you can send a reminder email directly from the kiosk settings, so there is no need to chase people manually.

  1. From Employee access in the kiosk settings, locate an employee who has not yet enrolled.
  2. In the Facial Recognition Enrolment column, send the reminder email to prompt them to enrol.

Clock in at the kiosk using your face

Use hands-free verification at the kiosk
  1. Approach the kiosk to view the live camera feed.
  2. Look at the camera. A green overlay will appear upon successful recognition.
  3. Verify your pre-filled location and position details displayed on the screen.
  4. The system will automatically submit your clock-in after a five-second countdown, or you can tap Clock In manually.

Helpful Hint

If you need to add a shift condition or change a detail while clocking out, tap the relevant field. This action pauses the auto-submit timer, allowing you to complete your selection manually.

What happens if the camera does not recognise me?

The system includes a seamless fallback method. If recognition takes longer than three seconds or fails to identify a face, the system reverts to manual PIN entry. You can tap Find my Card, select your name, and enter your PIN to complete your clock action.

Is my data secure?

We follow a privacy-first approach. Organisations and employees must explicitly enable this feature. Your facial data is stored securely and used only for workplace verification purposes.
