The Custom Forms PDF Export feature allows you to generate professional, high-fidelity documents of your analytics with a single click. This tool ensures that your on-screen visualizations, including charts, tables, and metric cards, are captured accurately for easy sharing with leadership and stakeholders. Authorised users can also securely export completed forms directly from an employee's file, saving valuable time during auditing and compliance checks.

Export a custom form to PDF from the forms list
You can download a PDF version of any custom form directly from your main forms list without opening the individual form.
- Log in to Employment Hero.
- Click the Custom Forms icon on the left-hand side menu.
- Locate the custom form card you wish to download.
- Click the 3 dots icon on the form card.
- Select Export to PDF.
- The PDF will automatically download to your device in approximately 3 to 10 seconds.
Helpful Hint
PDF exports initiated from the custom forms list card will always capture the full form data.
Export a custom form to PDF from the individual form view
When viewing an individual custom form, you can export it to reflect your current filter selections.
- Log in to Employment Hero.
- Click the Custom Forms icon on the left-hand side menu.
- Click on the specific custom form you want to view.
- Apply any desired filters (e.g., date range or department).
- Click the Export icon in the form toolbar.
- Select Export to PDF.
- The download will begin and a success notification will appear once complete.
Important
Exports from the individual custom form view will include a summary of the active filters applied to the data in the final PDF.
Export form submissions from an employee file
Admins, managers, and employees can securely export completed forms directly from an employee's file without navigating to the custom forms management area.
- PDF Downloads: Admins, managers, and employees can download a formatted PDF of any completed form submission directly from the employee file.
- Structured CSV Exports: Users can export structured CSV files of individual responses, making it effortless to process, import, or store employee data in external systems from employee file.
- Empowered Self-Service for Employees: Employees can securely export their own submitted forms directly from their employee file for personal record-keeping.
- Unified Access Permissions: Export capabilities strictly honour existing employee file viewing rules, keeping sensitive data protected at all times.
Targeted induction content for rehires and future hires
You can now share targeted induction content with the following user groups:
- Rehires: Refers to users who have been Reactivated.
- Future Hires: Refers to users who have a future Start Date.
Further information
- Selectable Text: The exported file is a proper document, not a screenshot. You can highlight, copy, and search text using standard viewer commands.
- Visual Fidelity: All charts (bar, line, pie, doughnut, and stacked) render as embedded images with original colors, labels, and proportions.
- Smart Formatting: Data tables utilize smart pagination where headers repeat and rows stay intact without splitting across pages.
- Supported Content: Custom forms support one-click PDF export.
- Form too large: Custom forms containing more than 50 widgets may exceed browser memory limits. If this occurs, reduce the number of widgets or narrow your configuration before retrying.
- No data to export: If your saved configuration or active filters yield no results, the system will provide an error toast instead of downloading an empty file.
