The white label transfer process allows you to request the transition of your current white-label or QuickBooks partner payroll platform directly to Employment Hero Payroll. This article outlines the essential steps, requirements, and responsibilities for both your organisation and your previous provider to complete this migration smoothly.

Understand migration rules and prerequisite balances

Verify account financial eligibility

Before any platform transition can commence, you must ensure your current ledger satisfies all baseline commercial conditions with your current platform provider.

  1. Bring your existing payroll account to balance.
  2. Settle any outstanding fees or financial obligations required to pay off your designated notice periods.
  3. Ensure you have a fully executed Customer Services Agreement with Employment Hero prior to requesting the initialisation of the transfer.

Helpful Hint

Employment Hero cannot complete a white label transfer without an active, signed contract. If you do not have an active agreement, please cooperate with our sales team first to establish a correct billing relationship.

Submit formal written authorisation for transfer

Provide full access user validation

To secure your data and maintain proper platform authority, an explicit confirmation must be submitted by an authenticated administrator.

  1. Identify a user listed with Full access privileges on your current payroll setup.
  2. Draft an email containing the formal statement template from your registered email address.
  3. Copy and fill in the following statement text precisely: 
    "I, XXXXXXX, owner/full access user of XXXXX payroll account (payroll ID XXXX), provide permission to transfer the payroll account from XXXXX brand to Employment Hero."
  4. Capture a clear screenshot of the reply that visibly displays the sender email address to assist the support team with necessary account verification.

Confirm previous partner brand approval

Obtain payroll champion consent

Every platform transfer requires a verified release authorisation from the specific partner brand you are departing.

  1. Contact your current payroll platform provider or managing partner.
  2. Request that an authorised Payroll Champion from their organisation provides formal written permission for the migration.
  3. Ensure the partner release uses the following verification format: 
    "I, XXXXXXX, brand manager provide permission to transfer XXXXX payroll account name (payroll ID XXXX), from XXXXX (brand name and ID) to Employment Hero."
  4. Retain a complete copy of this permission, as platform updates cannot proceed without verified Payroll Champion authentication.

Important

In instances where a managing business partner is currently undergoing liquidation, the release approval must be officially sourced from the legally appointed liquidator.

Review critical compliance exclusions for specific awards

Check award setup limitations

Certain historical configurations create immediate auditing risks and cannot use the standard transfer pipeline.

  • Review whether your historical payroll processing has occurred via PayCat platforms using the Social, Community, Home Care and Disability Services (SCHADS) Award.
  • Note that because PayCat implements a proprietary version of the SCHADS Award, a standard white label transfer will delete the award configuration from the live instance.
  • Acknowledge that this creates a critical compliance and audit history risk for your organisation.
  • Plan for a comprehensive new platform setup instead, as these specific accounts must be built from the ground up via standard implementation channels rather than undergoing a migration.

Can I request a guided configuration journey for my migrated data?

No. Standard white label transfers do not qualify for a Guided Payroll Implementation journey. If you or your administrators require training, you can utilise the curated learning materials available here in the Help Centre.

Where will my users log in once the migration is complete?

Once the technical team finalises the structural transition, users will no longer log in via their old portal link. All platform management and payroll actions will take place through the standard Employment Hero portal at https://employmenthero.yourpayroll.com.au.
