The migration/upgrade wizard

The migration wizard is an automated platform tool designed to bridge the data gap between Employment Hero Payroll classic and HR platform tracking. 

When you initiate the wizard, it automatically scans your historical payroll files from the previous three months to retrieve established cost centres, job titles, and active shift roles. It then uses this synchronised data to pre-fill your new HR setup, creating cohesive profiles for your physical worksites and rostered roles without needing manual input from scratch.

What the migration wizard can do for you

Transitioning to a granular Time and Attendance model or setting up a multi-site infrastructure manually can be a time-consuming process. The migration wizard removes this administrative burden through several key benefits:

  • Zero Manual Re-entry: The wizard instantly ports over existing cost centres, titles, and shift roles, saving hours of manual data input.
  • Intelligent Location Filtering: It automatically analyses your payroll locations, pre-including obvious physical worksites (like separate cafes or kitchens), while auto-excluding non-physical entities (like administrative cost categories).
  • Granular Cost & Labour Visibility: By grouping roles inside specific worksites, your final labour cost reports automatically break down what each physical branch or location spends on wages, rather than merely displaying a single company-wide figure.
  • Pre-populated Roster Data: Because positions automatically link straight back to your active cost centres, your organisational tracking and shift reporting stay perfectly accurate with zero extra legwork from your payroll or HR teams.
  • Flexible Customisation: Even though the wizard pre-fills the data for you, you maintain complete control. You can manually include or exclude entities, edit automatic naming conventions, or copy details between worksites at any stage.

How to upgrade to HR Rostering and Timesheets

Upgrade to HR Rostering and Timesheets

  1. Log into your Employment Hero platform, either HR or Payroll classic.
  2. On the dashboard, find the free upgrade widget titled:
    • "Exclusive offer: Free Rostering upgrade" on Payroll classic.
    • "Your roster and timesheets have a free upgrade waiting" on HR.
  3. Depending on which platform you are on, click the:
    • Start upgrade button if you are on the Payroll platform; or
    • Set up now button on the HR platform.
  4. Wait for the wizard to process your background data.

    Helpful Hint

    This step retrieves your Employment Hero Payroll locations and may take anywhere from 30 seconds to a few minutes. You can freely navigate to other areas of the platform while this runs.

  5. On the Map Sites page, review the automatically imported list of worksites mapped from your payroll cost centres.
    • To change the status of an auto-selected site, click the Include or Exclude button on the right side of the item row.
    • Click into the Address field for each active worksite and type in the physical address.
    • (Optional) Edit the default site name in the Name field (e.g., changing Waitstaff/Floor to FOH).
    • (Optional) Click the Add work site button at the bottom of the list to manually build any missing physical locations (such as a Private Dining Room).
  6. Click the Save & continue button.
  7. On the Confirm Positions page, review the roles the wizard generated from your payroll job titles and shift history.
    • Click the Exclude button on any roles that do not belong on an active employee roster.
    • (Optional) Click the Add position button to create any rostered role not caught by the automatic scan.
  8. Click the Save & continue button.
  9. On the Work Sites verification page, customise individual rules for each location:

    • Review the mapped positions, cost centres, and colour codes for the location.
    • Under Available Workers, click the field to select and assign the specific employees qualified to work each position at this site.
    • Use the Public Holidays drop-down menu to assign a localised public holiday calendar to the worksite.
    • (Optional) Click the Add default shift details button to establish standard clock-in/clock-out parameters and default break times for faster Rostering later.

    Helpful Hint

    If you created a custom worksite, click the Copy from a previous work site button in the top right corner to mirror the positions and employees of an existing location instantly.

  10. Click the Save button to cycle through and verify each individual worksite.
  11. Once all locations show a progress completion status, click the Save & continue button to reach the final review stage.
  12. On the Go Live page, please keep the following operational details in mind:
    • Permissions Model Differences: Employment Hero Time and Attendance functions on a separate permissions framework than your standard Payroll system. After completing the wizard, navigate to Settings > Permissions to ensure your managers and team leaders hold the correct access levels to manage rosters and authorise timesheets.
    • State-Saving Functionality: If you need to pause during setup, you can exit the wizard at any point. The system safely preserves your progress, allowing you to return to the active migration workflow later without losing configured data.
    • Roster Switchover Options: When going live, you can choose how your employees migrate over:
      • Instantly: Moves all employee profiles to the active HR tracking platform immediately upon execution.
      • Once a shift has been published: Retains your employees on their legacy EH Work app configuration. An employee's profile will transition over to the updated time and attendance interface only after an administrator publishes their first official shift inside the HR platform.
  13. After reviewing everything, click the Setup work sites now button.
    • You will see a notification saying "Your work sites and positions are now setup."
