Manage performance reviews as a manager

Available for the following plans: Plus, Unlimited HR, Engage, Elite, Unlimited HR+Payroll,
Available for the following HR plans: Premium, Platinum
Available for the following User Access levels: Manager, Admin

The Assigned to me Performance Review Management feature allows you to check in on the performance review progress made by your direct employees. You can then submit feedback on these answers if required. Lastly, can also use this feature to download a CSV copy of the data and print an offline copy of this information if required.

This article will show you how to manage the following:

Add a performance review template

Create a performance review template

 

 

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Templates tab.
  5. Click on the + Create Review Template button.
  6. Add the following details:
    • Template name
    • Description (optional)
    • Questions
    • Settings

Helpful Hint

In the Questions section, you can either type in your own custom question in the + Add new question field, or you can click in the same field and choose your question category to add from the pre-existing options.

  1. Click on Publish template.
Use an existing performance review template

 

 

  1. Log in to Employment Hero. 
  2. Click the Performance icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Templates tab.
  5. On the template you wish to use, click on the Use template button.
  6. In the General Settings and Dates screen, add the following details:
    • Name
    • Description (optional)
    • Upload files (optional)
    • Review type - dates and duration or continuous
    • Dates and duration.
  7. Click on Next.
  8. In the Questions screen, add the following details:
    • Select template
    • Include overall score (optional)
    • Weighted questions (optional)
    • Question preview.
  9. Click on Next.
  10. In the Participants screen, add the following details:
    • Select employees
    • Select reviewers.
  11. Click on Create Review Period.

Add a new review period

Create a new review period


 

  1. Log in to Employment Hero. 
  2. Click the Performance icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Periods tab.
  5. Click on + Create new period button.
  6. In the General Settings and Dates screen, add the following details:

    • Name
    • Description (optional)
    • Upload files (optional)
    • Review type - dates and duration or continuous
    • Dates and duration.

    Helpful Hint

    Review type - dates and duration or continuous and the start date, employee end date, reviewer end date, set reminder at (optional), employee lockout date and reviewer lockout date are key to adding the new review period.

  7. Click on Next.
  8. In the Questions screen, add the following details:
    1. Select template
    2. Include overall score (optional)
    3. Weighted questions (optional)
    4. Question preview.
  9. Click on Next.
  10. In the Participants screen, add the following details:
    1. Select employees
    2. Select reviewers.
  11. Click on Create Review Period.
Edit a review period
  1. Log in to Employment Hero. 
  2. Click the Performance icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Periods tab.
  5. On the review period in which you want to edit the dates, click on the 3 dots.
  6. Click on View Details. 
  7. In the General Settings and Dates screen, edit the following details:

    • Review type - dates and duration or continuous
    • Dates and duration.

    Helpful Hint

    Review type - dates and duration or continuous and the start date, employee end date, reviewer end date, set reminder at (optional), employee lockout date and reviewer lockout date are key to adding the new review period.

  8. Click on Next.
  9. In the Questions screen, click on Next.
  10. In the Participants screen, click on Create Review Period.

Complete a performance review as a manager

Important

You can only publish management reviews that are in the drafting stage.

 

 

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Periods tab.
  5. Click the desired review period.
  6. Click the Assigned to me tab.
  7. Click the employee whose performance review you are completing.
  8. Complete your review fields.
  9. Click the Publish button.

    Helpful Hint

    You can click the Expand or Minimise buttons to close or open a review question. Each time you edit a review or update the star ratings, the platform will automatically save your progress. You can only publish a review once you answer all available questions. The platform shows a completed answer by highlighting it in green.
     

Add Next Steps to an employee's performance review

 

 

After a Performance Review, you may identify action items to support your employee's development before the next review. These Next Steps guide the employee’s progress in key areas and ensure continuous improvement.

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to Me tab.
  6. Click the employee who needs Next Steps added.
  7. Click Create and View next steps.
  8. Click the Create button.
  9. Choose between a task or a goal.
  10. Complete the required fields.
  11. Click the Save button.
  12. The new task or goal will show in the Next Steps area, and an email about the next steps will also be sent to the employee.

The Next Steps feature is only available to Employment Plus, Employment Unlimited and Classic Platform users.

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.

  6. Click the employee who needs Next Steps added.
  7. Click the Next Steps box.
  8. Click the Next Step you want to view.
  9. The employee's progress towards the task or goal will show.

Send performance review reminders

Send a reminder: Individually


 

Important

You can only send a reminder to an employee who has not completed their review yet within the review period.

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to me tab.
  6. Click the Actions dropdown button.
  7. Click the Remind button.
  8. Click the Remind button.
Send a reminder: In bulk


 

Important

You can only send a bulk reminder when multiple employees have not completed their reviews yet.

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to me tab.
  6. Click the Remind All button.
  7. Click the Remind button.

Manage performance reviews

Filter performance reviews
  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the Filter search button to search by review period name.
  5. Click the Date filter field.
  6. Set the desired date range.
  7. Click the Archived option to include archived review periods.

    Helpful Hint

    If you would like to view all your reviews, you can do so by clicking the Reset button and then the Filter button.

Edit a management review

Important

You can only edit reviews that are still in the drafting stage. Also, you might not be able to change your ratings and responses after the review period. This depends on whether the administrator has set a lockout date for the review.

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to me tab.
  6. Click the employee whose review you wish to edit.
  7. Make the required changes and then click either the Publish or Save as Draft buttons.
     

    Helpful Hint

Download a CSV of the review summary
  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to me tab.
  6. Click the Download CSV button.
     
Print an individual review

 

 

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to me tab.
  6. Click the employee who needs a review printed.
  7. Click the Print button.
     

Important

When you click Print on your Performance Review, a new tab should open, allowing you to print or save the document. If this does not happen,‌ pop-ups are blocked in your browser. Please ensure that pop-ups are enabled for Employment Hero. Refer to this article for instructions on how to check and manage pop-up settings in Chrome.

Print the review summary

 

 

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to me tab.
  6. Click the Print button.
     

Important

When you click Print on your Performance Review, a new tab should open, allowing you to print or save the document. If this doesn't happen, it is likely that pop-ups are blocked in your browser. Please ensure that pop-ups are enabled for Employment Hero. Refer to this article for instructions on how to check and manage pop-up settings in Chrome.

Unpublish a management review

Important

You can only unpublish reviews that have already been published.

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click the desired review period.
  5. Click the Assigned to me tab.
  6. Click the employee whose review you want to unpublish.
  7. Click the Unpublish button.
     
View a view-only performance review

Admin users will have view-only access to all users within the review period.

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Periods tab.
  5. Click on your desired review period.
  6. Click on the View-only tab.
  7. Here you will be able to see all users in this review period if you are an admin user.
Add another employee as a reviewer


 

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Periods tab.
  5. Click on the 3 dots next to the review period you wish to edit.
  6. Click on View Details.
  7. Go through the General Settings and Dates screen.
  8. Go through the Questions screen.
  9. On the Participants screen, scroll to the bottom of the page. On the employee for whom you wish to add another reviewer, click in the reviewer field and type in the extra reviewer's name.
  10. Click on the extra reviewer's name in the drop-down menu.
  11. Click on Update review period.
Bulk-update the reviewer


 

  1. Log in to Employment Hero. 
  2. Click the Performance  icon on the left-hand side menu.
  3. Click the Performance Reviews option.
  4. Click on the Review Periods tab.
  5. Click on the 3 dots next to the review period you wish to edit.
  6. Click on View Details.
  7. Go through the General Settings and Dates screen.
  8. Go through the Questions screen.
  9. On the Participants screen, scroll to the bottom of the page. On the employee for whom you wish to add another reviewer, click in the reviewer field and type in the extra reviewer's name.
  10. Click on the extra reviewer's name in the drop-down menu.
  11. Click on Update review period.

Creating a performance review template then adding the review period A review template must be created before a review period can be added. You need a review template to start a review period. However, you can now create both at the same time — no more jumping back and forth between menu items.
How to add custom questions Custom review questions must be added before adding a new template. Custom questions can now be added while creating a new template.
Where to add custom questions Accessed from Settings > Performance and Engagement > Performance Reviews > Add a review question. Accessed in Performance > Performance Reviews > Create a review template.
Manager reviewers Employees can only be reviewed by their primary manager, their secondary manager, or both. You can add any employee as another reviewer. The employee's primary manager will be added as the reviewer by default, but you can remove this and add any other employee as the reviewer.
Personal performance review view and manager performance review view in separate locations in Employment Hero. Different views for manager reviews as an employee and as a manager. Same view for manager reviews as an employee and as a manager - managed by My Reviews tab (performance reviews as an employee) and Review Periods tab (performance reviews as a manager).
Can I change who can see a performance review?

Yes. In Settings > Custom Security Settings > Other Permissions > Performance Review Settings/Performance Review Responses, you can give custom permissions to these users. To find out how to create a custom security group, click on this link.
