Blocks are a useful feature as they allow you to group your text together and choose, say, three different versions of a salary history as being linked. By linking them together, you can then, at the HR Document issuing stage, choose which of the three versions apply to each employee.
Optional Blocks: You can create multiple optional blocks within a document. Optional blocks are distinguished by their dotted grey lines. However, when optional blocks share the same name (Block Group), only one of them can be selected when issuing the document to an employee.
You can use the Advanced Template Management feature to add these blocks to your organisation's HR documents and policies. You can also use this feature to edit and/or delete a block if the information needs updating. To read details on how to access the Template Management feature, please refer to this article.
Getting started
- Log in to Employment Hero.
- Click on Compliance in the left-hand side menu.
- Open the required advanced editor document.
- Click the button.
- Complete the required fields and click the OK button.
- Click the Save and Preview button.
- Click either the Return button to exit the editor or the Edit button to make further changes.
Helpful Hint
To add an Optional Block, tick the check box on the Block pop-up box, then click OK.
Maintain
- Log in to Employment Hero.
- Click on Compliance in the left-hand side menu.
- Open the required advanced editor document.
- Hover over the block you need to edit and double-click the button.
- Make the required changes and click the OK button.
- Click the Save and Preview button.
- Click either the Return button to exit the editor or the Edit button to make further changes.
- Log in to Employment Hero.
- Click on Compliance in the left-hand side menu.
- Open the required advanced editor document.
- Right-click on the block you wish to delete.
- Click the Remove Block button.
- Click the Save and Preview button.
- Click either the Return button to exit the editor or the Edit button to make further changes.
Further information
When creating a block, a window will appear. Selecting the Optional checkbox makes the content optional. You can have multiple optional blocks in a document, but only one optional block per Block Group name can be selected when issuing the document.
To maintain proper formatting, group related optional blocks in separate sections. If Optional is not selected, the block's text becomes locked and uneditable.
The Block Group field names the block—use a unique name for standalone blocks or the same name to group optional blocks that are alternatives to each other. When multiple optional blocks share the same Block Group name, only one can be selected during document issuance. Block Group names appear in the interface to help identify blocks when there are conflicts.
Example
You could create three optional blocks all named "Salary History" containing different salary ranges. When issuing the document, you can choose which of the three salary history versions to include for each specific employee.
Troubleshooting
- Ensure optional blocks with the same name are grouped appropriately
- Consider using different Block Group names if the blocks serve different purposes
- Move related optional blocks to separate sections if needed
