How do I customise onboarding and employee file fields via the HR platform?

Available for the following HR plan: Platinum
Available for the following user access level: Admin    

The Custom Fields feature lets you customise onboarding and employee file fields, with the ability to ask a free text, single-select, or multi-select question. You can also set the user visibility, editing, and location of those questions. In addition, you can edit any information and delete a record you no longer need.

Getting started

Create a free text custom field
  1. Click the Settings menu.
  2. Under Customisation, click the Custom Fields submenu.
  3. Click the Create New button.

  4. Complete the following fields:
    • Name.
    • Type - select "Free Text".
    • Hint.
    • Description.
  5. Click the Next button.

  6. Complete the following fields:
    • Permissions:
      • Managers:
        • Hidden.
        • View only.
        • View and edit.
      • Employees:
        • Hidden.
        • View only.
        • View and edit.
    • Mandatory.
    • Capture field during onboarding.
    • Send an email notification to employees.
  7. Click the Save button.

Create a single-selection custom field
  1. Click the Settings menu.
  2. Under Customisation, click the Custom Fields submenu.
  3. Click the Create New button.

  4. Complete the following fields:
    • Name.
    • Type - select "Single Selection".
    • Add select options.
    • Hint.
    • Description.
  5. Click the Next button.

      • Employees:
        • Hidden.

  7. Click the Save button.

Create a multi-selection custom field
  1. Click the Settings menu.
  2. Under Customisation, click the Custom Fields submenu.
  3. Click the Create New button.

  4. Complete the following fields:
    • Name.
    • Type - select "Multi Selection".
    • Add select options.
    • Hint.
    • Description.
  5. Click the Next button.

Editing data

Edit a free text custom field
  1. Click the Settings menu.
  2. Under Customisation, click the Custom Fields submenu.
  3. Click the Actions button.
  4. Click the Edit button.

  5. Make the required changes to the custom field.
  6. Click the Next button.

  8. Click the Save button.

Edit a single-selection custom field
  1. Click the Settings menu.
  2. Under Customisation, click the Custom Fields submenu.
  3. Click the Actions button.
  4. Click the Edit button.

Edit a multi-selection custom field
  1. Click the Settings menu.
  2. Under Customisation, click the Custom Fields submenu.
  3. Click the Actions button.

Deleting data

Delete a custom field
  1. Click the Settings menu.
  2. Under Customisation, click the Custom Fields submenu.
  3. Click the Actions button.
  4. Click the Delete button.

  • I have some questions. Help please.
    - When you are adding permissions and it says "managers" is that all managers or just the employee's manager?
    - When you are adding permissions and it says "employees" does that mean all employees or just the employee the custom field is related to?
    - Can other employees see this field?
    - Can these responses be seen on the Swag app?
    - Are there custom security group settings to allow everyone to see these responses?
    - In what instance is an email sent to employees if that box is ticked? is that all employees or just the employee related to the custom field in question?
