Pay rate templates

Overview

Pay rates templates allow you to group pay rates together so you can assign them to employees in one instance. This will reduce the administrative time you spend on managing the many disparate pay rates your employees could be under.

This feature allows you to create a new pay rate template, edit and/or clone any you have created previously, and delete ones that are no longer required. The feature also has an export and import feature, allowing you to download the data, make any required changes and then re-import the edited file.

Getting started

Adding a pay rate template
  1. Click the Business Settings menu.
  2. Click the Payroll Settings submenu.
  3. Click the Pay Rate Template button.
  4. Click the Add button.

  5. Complete the following fields:
    • Name.
    • Primary pay catergory.
  6.  In the pay rates table complete the following columns:
    • Enabled.
    • Rate.
    • Super Rate.
  7. Scroll to the bottom of the page and click the Save button.

Maintain

Viewing assigned employees
  1. Click the Business Settings menu.
  2. Click the Payroll Settings submenu.
  3. Click the Pay Rate Template button.
  4. Click the pay rate template that needs assigned employees viewed.

    Helpful Hint

    You will now see on your screen the employees assigned to the pay rate template.

Exporting pay rate templates
  1. Click the Business Settings menu.
  2. Click the Payroll Settings submenu.
  3. Click the Pay Rate Template button.
  4. Click the Export button.

  5. Select the required data type from the Data Type drop-down.
  6. Select the required file format from the File Format drop-down.
  7. Click the Download button.

Importing pay rate templates
  1. Click the Business Settings menu.
  2. Click the Payroll Settings submenu.
  3. Click the Pay Rate Template button.
  4. Click the Import button.

  5. Choose whether to select the Update Employee Pay Rates tick box.
  6. Click the Select File button.

  7. Click the Confirm Upload button.

    Helpful Hint

    After the importing process finishes a summary appears on your screen outlining what data successfully uploaded and what errors occurred.

Editing a pay rate template
  1. Click the Business Settings menu.
  2. Click the Payroll Settings submenu.
  3. Click the Pay Rate Template button.
  4. Click the pay rate template that needs editing.

  5. Make the required changes and click the Save button.

Cloning a pay rate template
  1. Click the Business Settings menu.
  2. Click the Payroll Settings submenu.
  3. Click the Pay Rate Template button.
  4. Click the Clone button.

Deleting a pay rate template

Important

You can only use the delete feature when a pay rate template has no assigned employees. 

  1. Click the Business Settings menu.
  2. Click the Payroll Settings submenu.
  3. Click the Pay Rate Template button.
  4. Click the Delete button.
