Submit weekly hour based timesheets

Available for the following HR plans: Premium, Platinum
Available for the following Payroll plans: Standard, Premium
Available for the following user access levels: Employee

As an employee, it is important to track your work hours to ensure your manager can compare that time spent against your contracted hours and approve them for payment.

The My Weekly Hours-Based Timesheets feature lets you submit a weekly timesheet with total hours worked per day, as well as select a work type and add comments. You can also edit entries if changes are needed or delete records if they are no longer required. 

Helpful Hint

  • Weekly timesheets will pre-fill with the employee's 'ordinary work day' hours if the employees is required to submit total hours in their timesheets
  • Weekly timesheets will pre-fill with custom total hours if the employee is required to submit total hours in their timesheets
  • Weekly timesheets will pre-fill with custom hours if the employee is required to enter start and stop times in their timesheets
  • To use this timesheet type, you need to enable Daily Hours based on Weekly Entries. To read further details on how to enable this feature, refer to this article.

Manage data

Submit my weekly hours
  1. Click the  Time menu.
  2. Click the Timesheet submenu.
  3. Click the Add Weekly Timesheet button.
  4. There is the option to Reuse the previous week's timesheet. Click this to fill the fields with last week's information. 
  5. Otherwise - Select the starting date in the Week drop-down.
  6. Complete the following fields:
    • Cost centre.
    • Work type.
    • Monday to Sunday work hours.
    • Break start and end (optional)
    • Comment.
  7. Click Actions for the option to add break or row. 
  8. Click the Save button.
Submit my half/full days
  1. Click the  Time menu.
  2. Click the Timesheet submenu.
  3. Click the Add Weekly Timesheets button.
  4. Click the Full Day/Half Day button.
  5. Select the starting date in the Week drop-down.
  6. Complete the following fields:
    • Cost centre.
    • Work type.
    • Monday to Sunday half-day or full day.
    • Comment.
  7. Click Actions for the option to add break or row. 
  8. Click the Save button.

Edit data

Edit my weekly hours
  1. Click the  Time menu.
  2. Click the Timesheet submenu.
  3. Click the Action   button.
  4. Click the Edit button.
  5. Make the required changes and click the Save button.
Edit my half/full days
  1. Click the  Time menu.
  2. Click the Timesheet submenu.
  3. Click the Action   button.
  4. Click the Edit button.
  5. Make the required changes and click the Save button.

Delete data

Delete my timesheet
  1. Click the  Time menu.
  2. Click the Timesheet submenu.
  3. Click the Action   button.
  4. Click the Delete button.
     

Manage my Employee's Weekly Timesheets

Submit on behalf of my Employee

  1. Click the  Time menu.
  2. Click the Timesheets management submenu.
  3. Click the Add Weekly Timesheet button. add weekly timesheet (1).jpg
  4. Select the date and then the Employee you are filling the timesheet in for. 
  5. There is the option to Reuse the previous week's timesheet. Click this to fill the fields with last week's information. 
  6. Otherwise - Select the starting date in the Week drop-down.
  7. Complete the following fields:
    1. Cost centre.
    2. Work type.
    3. Monday to Sunday work hours.
    4. Break start and end (optional)
    5. Comment.
  8. Click Actions for the option to add break or row. 
  9. Click the Save button.

Edit weekly timesheets

  1. Log in to Employment Hero.

  2.  

    Click the  Time menu.

  3. Click the Timesheets Management submenu.
  4. In the Timesheets Approval section, use the following fields to filter your employee timesheet requests:
    1. Date range
    2. Employee
    3. Cost centre
    4. Work type
    5. Group by
    6. Status:
      1. Pending timesheets
      2. Approved timesheets
      3. Declined timesheets
      4. All
  5. Click the Run Report button. 

Edit and Delete weekly timesheets

  1. Log in to Employment Hero.

  2.  

    Click the  Time menu.

  3. Click the Timesheets Management submenu.
  4. Click the Action button.
  5. Click the Edit or Delete button. 
  6. Make the required changes and click the Save button. 

Further information

Definitions: Timesheet status
Pending A manager needs to approve the timesheet.
Approved A manager has approved the timesheet.
Declined A manager has rejected the timesheet.
Definitions: Clock messages
Created at Provides a timestamp of the timesheet creation date
Synced at Provides a timestamp of when the timesheet tried to sync with Employment Hero Payroll classic.
Sync successful Determines whether the synchronisation of the timesheet between Employment Hero and Employment Hero Payroll classic has been successful.
Edited at Provides a timestamp of the last edit done to the timesheet after a previous Employment Hero Payroll classic synchronisation attempt.

Icon Name  Description
Blue clock Used for approved, pending, or declined timesheets that have not synchronised with Employment Hero Payroll classic.
Green clock Used for approved timesheets that have synchronised with Employment Hero Payroll classic.
Red clock Used for approved timesheets that has not synchronised with Employment Hero Payroll classic.
Orange clock Used for pending, approved, or declined timesheets that have had changes made to them after being synchronised with Employment Hero Payroll classic.
Message It means the employer has left a note regarding this timesheet.
