How do I apply an employee leave request to a timesheet? | Payroll FAQ

Available for the following Payroll plans: Standard, Premium

To turn an employee leave request into an employee timesheet entry on the Payroll platform, you need to use the Timesheet feature and enter the required information in the relevant form.

This article explains how to carry out the process.

Important

To apply a leave request as a timesheet, the employee must have the Annual Leave Taken Work Type enabled. To read further information on how to create a work type, refer to this article.

Apply a leave request to a timesheet
  1. Log in to your Employment Hero Payroll platform.
  2. Click the   Timesheet menu.
  3. Click the Create Timesheet submenu.
  4. Complete the following fields:
    • Employee
    • Period ending:
      • Week
      • Fortnight
    • Date
    • Timesheet costs:
      • Show timesheet costs
      • Hide timesheet costs
  5. Click the Approved Leave Request drop-down.
  6. Click the Leave Request that needs turning into a timesheet.

  7. Verify the following fields are correct:
    • Start time
    • End time
  8. Click the Save button.

  • It would be great if the approved leave requests automatically pulled through to the timesheets. Having to get payroll to do this prior to each pay run is ineffective and inefficient. If the leave requests are not applied to the timesheets the rule sets don't work either.

  • Thanks Caitlin for putting your comment because I have this same issue. Because of the amount of employees we have, this takes me from an hour to an hour and a half every pay to apply all the leave to the timesheets. It would be good if this was automated.

  • I would also add that when an employee doesn't have sufficient leave to cover a request, when you do apply it to the timesheet it applies the whole amount, not the amount available. E.g. employees request is for 8 hours sick leave, they only have 5 hours available, whilst the balance won't allow them to go into a negative accrual, the timesheet still applies the entire 8 hours. This then messes up the rule sets as only 5 hours should have been applied.
