Change employee advanced standard work hours on Payroll classic

Employee contract agreements may specify that an employee works a certain number of standard hours per week. Standard work hours refer to an employee working regular hours within a specific time period. By setting up these hours, you can streamline administrative tasks such as scheduling and pay runs. You can configure the total number of hours an employee works over one or two-week periods.

Getting started

The following outlines the steps to configure advanced standard hours for your employees, as well as manage irregular work schedules for specific periods.

Configure advanced standard hours
  1. Log into your Employment Hero Payroll platform.
  2. Click the  Employee menu.
  3. Select the employee that needs standard hours configured..
  4. Click the  Pay Run Defaults button.
  5. Under Standard Work Week field, click the Advanced button. advstdhours01.jpg

  7. Enter the start and end shift times for the employee's shift and their breaks.
    For part-time employees, you can configure specific workdays and hours to ensure leave applications correctly account for their schedules. 
  8. Click the Close button to confirm the changes.
     

    Helpful Hint

    You can also change their standard hours to the number of hours that they work per day, rather than specifying start and end times.

Configure irregular work hours for specific pay periods

If an employee's schedule varies week-to-week, such as working different days within a fortnight, you can adjust their work hours accordingly:

  1. After setting up the Standard Work Hours for the employee, ensure that you adjust the work hours for specific pay periods when the employee works on irregular days. This can be done through the Pay Run Defaults settings.

  2. If incorrect hours are added to a pay run (for example, an employee was marked as working a day they didn't), you can simply remove those hours by clicking the red 'X' next to the earnings for the days the employee did not work.

  3. For future pay periods, make sure the employee’s Standard Work Hours are updated to reflect any changes in their workdays or hours before creating the pay run.

The following outlines the steps to export and import an advanced standard hours template.

Import advance standard hours
  1. Log into your Employment Hero Payroll platform.
  2. Click the  Business Settings main menu.
  3. Click the Payroll Settings sub menu.
  4. Click the Data Extracts button.
  5. Under the Data type drop-down, select the Employee Advanced Work Hours option. advstdhours05.jpg
  6. Select one of the following templates:
    • Empty template
    • Template with employee advanced work hours (including terminated employees).
    • Template with employee advanced work hours.

  7. Select either a .xlsv or .csv data format in the File Format drop-down. advstdhours07.jpg

Bulk import advanced standard hours
  1. Log into your Employment Hero Payroll platform.
  2. Click the  Business Settings menu.
  3. Click the Payroll Settings submenu.
  4. Click the Import Employees button.
  5. Select the Employee Advanced Hours Upload option from the Import Employees From drop-down.
  6. Click the Import button.

  8. Click the Yes button.

    Helpful Hint

    You will now see on your screen a status message showing the successful uploading of your advanced work hours data into your payroll platform.
