The Onboard Contractor feature allows you to add a new contractor to Employment Hero and also at the same time choose and assign the relevant contract.
Manage data
- Click the People menu
- Click the Independent Contractors submenu.
- Click the Add Independent Contractors button
- Click the Onboard button.
- In the Basic Information section, complete the following fields:
- Trading name.
- First name.
- Last name.
- Date of birth.
- Email.
- Country.
- For HR-Payroll connected organisations: This field determines whether the contractor's profile is eligible to be synced from the HR platform over to the Payroll platform. Only contractors in Australia can be synced over.
- Job title.
- Start date.
- Service description.
- Reports to.
- Team.
- In the Pay Details section, click Yes or No, depending on whether you want to pay the contractor on Payroll.
- If you click No, jump straight to issuing the contract, which is step #12 here.
- If you click Yes, just continue normally with the next number, step #7, here.
- An expanded Pay Details section will appear here when you click Yes. Complete the following fields:
- Employing Entity.
- Primary Cost Centre.
- Pay Schedule.
- Timesheets.
- Primary Pay Category.
- Hourly Rate: Currently, this is the only supported pay rate.
- Standard hours per day.
- Use Standard Business Daily Hours.
- Click the Continue button.
- In the Payment Details section, complete the following:
- Account Name.
- BSB Number.
- Account Number.
- Click the Continue button.
- In the Tax Details page, complete the following:
- Tax File Number.
- Tax Calculation.
- Registered for GST: Select Yes or No.
- Click the Issue Contract button.
Important
After creating a contractor's profile, you will see their name on the contractor list on your Independent Contractors page. A red triangle with an exclamation point will appear beside their name if there are any errors with sync them over to Payroll. To view these sync errors, just click the name of the contractor, then you will see the errors you need to resolve listed above their profile.
In addition to the contractor's profile, you can also see these errors in Independent Contractors tab in the Payroll Integration Issues Dashboard.
- Choose the relevant contract and click the Actions dropdown button.
- Click the Select button.
- Make the required changes and click the Continue button.
- Select the I Have Read and Understood the Term of Use tick box.
- Edit the email message as required.
- Click the Email Document button.
Further information
Yes, you can add the person to Employment Hero. However, please keep in mind that adding them will automatically trigger an email to the individual. To avoid this, the only way to keep the employee in a 'pending/draft' status is to onboard them and select 'Issue Contract' during the onboarding process. This allows you to exit the file without sending an email, but you will need to proceed with the contract if you decide to onboard the person later.
Yes, you can only sync contractor data from the HR platform to the Payroll platform, but not the other way around.
You can see sync errors in two places:
- In the independent contractor's profile.
- In the Independent Contractors tab in the Payroll Integration Issues Dashboard.
You need to resolve all the errors listed before the contractor's data sync from HR over to Payroll.
To sync existing contractors to Payroll, follow these steps:
- Go to the independent contractor's profile.
- Click the Pay Details tab.
- Tick the Pay contractor on Payroll checkbox.
- Fill out the required fields in the profile, especially in the new Pay Details and Tax Details tabs.
- Resolve any sync errors that appear on their profile.
Once you complete the information required and resolve any errors, the independent contractor's profile will automatically sync to Payroll.
Currently, there is no field in the HR file to enter contractor superannuation details. For contractors eligible for super payments, once the contractor file has synced across, enter the superannuation details directly in to payroll.
Leave and timesheet data do not sync over to Payroll.
The contractor file will need to be created in HR. For the file to map correctly, these 6 fields need to match exactly with the existing Payroll file:
- GovernmentIdentifier (TFN).
- ABN.
- FirstName.
- Surname.
- DateOfBirth.
- Email.
If a mis-match in data occurs, this will create a duplicate data file in Payroll. If this error happens, please reach out to our support team to have this re-mapped.
