Managing uploaded documents | HR Web Platform

Overview

The Document Management feature allows you to upload a pre-created document to your HR platform that you can then bulk share with the required users. When sharing this information you can choose from a range of options such as sharing to all contractors or only and individual teams. You can also use this feature to edit the information and to delete a record you no longer need.

Availability

HR Plan:   Free   Standard   Premium   Platinum
  User Access:   Employee         Manager         Admin      

  This is the default access level per user and whether they have  view,  edit and  delete access, excluding any changes made via our Custom Security feature.

Getting started

Upload a document
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the   Upload Document button.

  4. Click or drag the required file onto the Upload tile.
  5. Click the Upload button.

  6. Click the Save All button.

Daily activities

Filter your documents
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Filter   button and select either:
    • Show all.
    • Published.
    • Draft.

Share a document
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Actions   button.
  4. Click the   Share button.

  5. Complete the following fields:
    • Document name.
    • Share everyone:
      • All employees.
      • All contractors.
    • Share to individuals that match any of the following:
      • Teams.
      • Individual.
    • Tags.
    • Admin access only:
      • Admins and others.
      • Admins only.
    • Reporting line access:
      • This employee.
      • Direct managers.
      • Indirect managers.
  6. Click the Publish button.

Editing data

Edit a document
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Actions   button.
  4. Click the   Edit button.

Removing data

Delete a document
  1. Click the   Compliance menu.
  2. Click the Document Management submenu.
  3. Click the Actions   button.
  4. Click the   Delete button.
