How to Complete KYB Verification with Persona

1. After clicking the banner, you will be taken to a content page outlining the KYB process requirements.
2. At the bottom of the page, in the Business Classification section, select your Industry Code (NAICS) from the dropdown list.
3. In the Business description section, provide a detailed description of your business activities, products and services.
4. Next, click the Verify my company button to begin the Persona KYB verification process.
5. A window will show in the Employment Hero platform, and an inquiry associated with your account will be created in Persona.

6. Choose your preferred language in the bottom left and click the Get Started button.

   

1. Next, you’ll be asked for some business details:
   • Legal business name
   • Business tax identification number
   • Year of incorporation
   • Entity structure (choose one):
     • Sole proprietorship
     • Corporation
     • Partnership
     • Co-operative
     • Non-profit
     • Government organization

What is a Director?

A Director is someone who is a member of the Board of Directors and has the legal authority to manage the company's operations and make executive decisions. Please provide the information for at least two Directors. 

If you selected Sole Proprietorship, Partnership, Co-operative, or Government Organization as your Entity Structure you can simply ignore this step as you will be prompted to complete Step 4 instead. 

If you selected Corporation or Non-Profit as your Entity Structure you will be prompted to complete the Directors details for Step 3. 

1. Next, Persona will collect information about the Directors.
2. Enter their information for the Director section:

• First name
• Last name
• Occupation
• Country of residence

3. If there are additional Directors, you can select ‘Add another director’ before continuing.
4. Click the Continue button.
5. Enter their Address details.
6. Click the Continue button.
   

Persona will then collect your business address.

• First, enter your Physical Business Address using autocomplete or click “edit address manually.”
• For some businesses, the Legal Registered Address differs from the physical address. If this is the case, uncheck “Same as physical address” and enter your registered address as well.

1. Next, you’ll be prompted to enter UBO details for all UBOs.
2. For each UBO, enter:
   - First name
   - Last name
   - Percentage of Ownership
   - Email address
   
   For the email address, please enter the UBO’s existing Humi account email. If they don’t have one, enter their preferred email address to receive the KYC identity verification link from Persona.

3. Continue until all UBO’s data is entered.

   

4. Click the Next button
5. When you click the Next button, each UBO will be sent an email inviting them to complete the KYC identity verification process.

1. Next, Persona will collect your business verification documents. These fall into three categories:

   1. Pay Verification:

      Please provide one of the following documents which includes the company name, a bank institution, an account, and a branch/transit number:
      - A void cheque
      - A bank verification letter, etc.
      - A direct deposit form from your bank 
      
      Bank statements will not be accepted.

   2. Place and History of Business: Please provide one of the following documents, ensuring the legal name and address (including any suite number) match exactly what appears in Employment Hero:

      • Utility bill (hydro, gas, water) from the past 2-3 months
      • Licence
      • Tax registration
      • Bank statements
      • Bank letters or agreements
      • Lease agreements
      • Articles of Association
      • Certificate of corporate status or incorporation
      • Annual report
      • Partnership agreement
      • Letter/Notice of Assessment

      We cannot accept self-prepared documents or sale invoices. The address provided must exactly match your business’s legal address. P.O. boxes are not accepted as valid legal addresses.

      Supporting Documents for Trade Names

      If your business operates under a trade name that is different from its legal name, please include one of the following documents to verify the name change:

      • Certificate of Amendment or Name Change
      • DBA (Doing Business As) document

      These documents should include the following details:

      • Legal business name
      • Registered business address (must match the address on file with your jurisdiction)
      • Jurisdiction of incorporation or registration
      • Business identification number (e.g., corporation or business number)

   3. Payor Relationship: Please provide a certified government or bank issued document naming the individual with legal signing authority to execute transactions on behalf of the company. That individual must be attested as the Signing Officer on the last page of this form.
      
      You’ll need to provide one of the following:

      • Articles of incorporation
      • Business registration
      • Bank verification letter confirming signing authority
        
        Please note that we are unable to accept internal records or documents provided by your lawyer. 

      

2. Select the category for which you’d like to upload a document(s). You’ll be prompted to import the document(s) into Persona. There are three methods to choose from:

   • Take a photo with your current device
   • Upload from your current device
   • Continue on another device

   

3. Once all documents in a category have been uploaded, click the Submit button.

   

4. Persona will then verify the uploaded documents.

   

5. Go through these steps for each document category. Once all three categories of documents have been uploaded and verified, click Submit documents.

   

What is a Signing Officer?

The Signing Officer is an individual who is authorized to perform financial transactions and can legally bind the company through their signature. That individual must be the same person listed on the payor relationship document provided.

1. As the final step, Persona will collect information about the Signing Officer
2. If you are a Signing Officer, please select “I am a Signing Officer”.
3. Enter information for the Signing Officer section:

• First name
• Last name
• Job title
• Email address

4. If you’re an owner, check the “I am also an owner” checkbox and enter in your percentage of ownership.
5. If you’re a Signing Officer you will need to attest all information including Directors, the Ultimate Beneficial Owners (UBOs) and Documents is accurate.
6. If you’re not the Signing Officer, once you click the Continue button, the Signing Officer you entered the details for will be sent an email asking them to review the KYB form submitted.
