Create an ad-hoc leave balance

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following user access levels: Admin

Users can create an ad hoc leave balance, for any miscellaneous leave outside of your standard leave types, which you can set to expire after a certain time period.

This article explains how to:


Step 1

Create an ad hoc leave type
  1. Log into Employment Hero.
  2. Click the   Settings menu.
  3. Under Payroll Settings, click the Leave Settings submenu.
  4. Click the Add Leave Type button.

  5. Complete the following fields:
    • Leave Type Name. (we are using Birthday Leave in this example)
    • Leave Type Setup - select Entitlement-Based
    • Unit Type
    • Return to work form (optional).
    • Other settings - click on Prevent Negative Leave Balances.
  6. Click on the Save button. 
  7. To assign the policy to certain employees, drag their name from the Available column to the Selected column.

    Helpful Hint

    You can click the >> button to move all employees to the Selected column.

Step 2

Assign ad hoc leave to an employee
  1. Log into Employment Hero.
  2. Click on the People option on the left-hand side menu.
  3. Click on Employee List.
  4. Select the employee to whom you would like to assign the ad hoc leave balance.
  5. On the leave type that you wish to assign, click on Adjust Balance.

  6. Click on Increase.

  7. Select the following:
    • How much would you like to increase?
    • When will this increase take effect?
    • Will this leave balance expire?
    • When will this expire?

  8. Click on Save.

Further information

Edit an ad hoc balance
  1. Log into Employment Hero.
  2. Click on the People option on the left-hand side menu.
  3. Click on Employee List.
  4. Select the employee to whom you would like to edit the ad hoc leave balance.
  5. On the leave type that you wish to assign, click on Adjust Balance.

  6. Click on Edit previous adjustment.

  8. Add your edited leave amount/expiry date.

See a previous ad hoc leave balance
  1. Log into Employment Hero.
  2. Click on the People option on the left-hand side menu.
  3. Click on Employee List.
  4. Select the employee to whom you would like to see the previous ad hoc leave balance.
  5. On the leave type that you wish to assign, click on Adjust Balance.

  7. Here you will see your previous adjustments.
Delete a previous adjustment
  1. Log into Employment Hero.
  2. Click on the People option on the left-hand side menu.
  3. Click on Employee List.
  4. Select the employee to whom you would like to see the previous ad hoc leave balance.
  5. On the leave type that you wish to assign, click on Adjust Balance.

  8. On the pop-up box, click on Delete to confirm.
