⚠️Work Sites & Positions Timesheets: This version of timesheet management uses work sites and employee positions instead of cost centres. It's currently available to customers who joined Employment Hero recently. Existing customers will be migrated to this system over the coming months.
Adding timesheets
- Log into your Employment Hero HR platform.
- Click the Time menu.
- Click Timesheet Management.
- Click the Add Timesheet button.
- Fill in the timesheet details in the side panel:
- Employee: Select the employee
- Date: Choose the date
- Start and end times
- Break periods (if applicable)
- Work site and position
- Notes (optional)
- Click Save to create the timesheet.
Note: The side panel keeps the main timesheet view visible so you can reference other entries while creating new timesheets.
- Navigate to the Timesheet Management page.
- Look for entries with Absent status.
- Click the Add Timesheet button on the absent entry.
- The side panel opens with rostered shift details pre-filled.
- Adjust times or details as needed.
- Click Save.
This is useful when employees forget to clock in/out but you want to maintain the connection to their rostered shift.
Editing timesheets
- Navigate to the Timesheet Management page.
- Click on the timesheet you want to edit.
- The side panel opens with current timesheet details.
- Make your changes to:
- Start and end times
- Break periods
- Work site or position
- Notes
- Click Save to update the timesheet.
Note: You can edit timesheets with Approved, Declined, or Pending status. Processed timesheets can only be viewed.
- Navigate to timesheets with Partial status.
- Wait until the shift time has elapsed.
- Click on the partial timesheet.
- Add the missing end time and any break information.
- Click Save.
Partial timesheets occur when employees clock in but forget to clock out. You can only edit them after 24 hours of clock in time.
Deleting timesheets
- Navigate to the Timesheet Management page.
- Click on the timesheet you want to delete.
- In the side panel, click Delete.
- Confirm the deletion when prompted.
Note: You can delete timesheets with Approved, Declined, Absent, Pending, or Partial status, but only if the shift time has passed by at least 24 hours. This buffer protects recent submissions from accidental deletion.
Delete timesheets to:
- Remove duplicates: Clean up when employees have submitted multiple timesheets for the same shift
- Correct errors: Remove incorrect entries that can't be fixed through editing
- Clean up test data: Remove timesheet entries created during system testing
Important: Deleted timesheets are permanently removed from the system and cannot be recovered.
Understanding the timesheet interface
- Log into your Employment Hero HR platform.
- Click the Time menu.
- Click Timesheet Management.
Note: This enhanced timesheet management page is only available to organisations using Work Sites and Positions.
Each timesheet shows an icon indicating how it was submitted:
- MacBook icon: Manually submitted
- Tablet icon: Submitted via Hero Time Clock (HTC)
- Phone icon: Submitted via EH Work app
Timesheets display with different statuses:
- Pending: Awaiting approval
- Approved: Processed and accepted
- Declined: Rejected and requiring attention
- Partial: Employee clocked in but hasn't clocked out
- Late: Rostered shift started but employee hasn't clocked in
- Absent: Rostered shift ended with no clock-in activity
- Click the expand arrow next to any timesheet.
- View detailed information including:
- Submitted start and end times
- Break periods
- Employee notes
- Who approved the timesheet
To access Late and Absent timesheet statuses, ensure:
- EH Work app: Enable in Settings Company Settings Clock In and Out Settings
- OR Hero Time Clock: Create at least one time clock with employee access
