Create custom rota rules for specific employee groups

Available for the following plan: Employment Unlimited
Available for the following HR classic plans: Premium, Platinum
Available for the following users: Admin, Owner

If your organisation has unique rostering requirements beyond the predefined rule groups (such as visa restrictions, contract-specific rules, or internal agreement limits), you can create custom rota rules.

Custom rules let you define working hour limits and rest requirements tailored for specific employee groups. Once assigned, employees are automatically opted out of the default predefined rule groups.

Rules you can customise

Custom rule groups let you create tailored rule sets for specific employees. You can define limits for:

  • Maximum weekly hours
  • Maximum daily hours
  • Maximum night hours
  • Minimum rest break
  • Minimum daily rest
  • Minimum weekly rest

If any field is left blank, that rule will not be applied.

Create a custom rule group

  1. Click the Time menu on the left-hand side of your screen.
  2. Under Rota, click Rota Management.
  3. Click the Settings button (gear icon).
  4. Click Rota rules & warnings settings.
  5. Click the Custom Rules tab.
  6. Click the Create Custom Rule button.
  7. Enter your rule values and select the rule action. If any field is blank, the rule will not be applied.
    • Warn: Shifts can be published.
    • Block: Shifts cannot be published until the breach is resolved.
  8. Assign employees to the custom rule. Once assigned, these employees are automatically opted out of the predefined Adult or Young Worker groups.
  9. Click the Save button to enable the custom rule group. You can disable or edit the rule group at any time, if needed.

How warnings appear

Warnings appear live as shift times are entered for an employee.

Rule groups that are set to "Block" will display a red warning, and the shift cannot be published until the warning is resolved.

Rota management page

Shifts will be flagged as warning shifts. Hovering over the shift will show details of the rule that was breached.
