Grant mobile access to Live Rota View in the EH Work mobile app

The Live Rota View permission provides employees with immediate access to real-time attendance data on the mobile app. This feature provides rapid situational awareness, enabling teams to quickly view key employee statuses. These statuses cover who is currently clocked in or out, on break, or on leave.

This level of visibility streamlines operational oversight, reduces the need for manual checks, and supports a more efficient response to incidents, particularly in multi-site environments.

Important

This article uses terminology that varies depending on your Employment Hero platform's language settings:

  • Your platform will say either Roster or Rota. For example, the user permissions will either say Live Roster View or Live Rota View.

If you do not see the term ‘Roster’, look for ‘Rota’ instead and vice versa. To change your display language, click your Profile button, select Account Settings, and update the Language field.

Employee visibility levels

When the Live Rota View permission is granted on the Employment Hero platform, it is split into two components that control what data is visible to the employee:

  • Who’s In: The core permission, which allows users to see basic real-time statuses (Clocked-in, Clocked-out, On Break, and On Time off/On leave).
  • Late & No Show Details: An optional addition, which allows users to see more detailed attendance information. This includes late and no show statuses and exact clock-in/clock-out timestamps.
Grant Live Rota View permissions

To grant the Live Rota View permission to your employees, you must configure Custom Security Settings. For information on managing security groups, visit this article.

Once users are granted Live Rota View permissions, users with existing Rota Management permissions will see live statuses on their existing Rota Management tab on their mobile app.

To grant permission to the Live Rota View:

  1. Log in to the Employment Hero platform.

  2. On the left-hand side menu, click Settings.

  3. In the Security & Access Control section, select Permissions.

  4. Click Add Permission.

  5. Click Skip and configure on my own.

  6. Enter the name of the group.

  7. Enter a description for the group.

  8. Under the Employee Access subheading, select from any of the following Employee Access Groups:

    • All Employees

    • Reporting Employees

    • Groups

    • Work Sites

  9. If Groups or Worksites is chosen, select the required group or worksite from the drop-down menu.

  10. Click Next.

  11. In the Employee Permissions section and next to Live Rota View, click Use. This provides access to the two components: Who's In and Late & No Show Details.

    Important

    The Late & No Show Details permission component can not be given in isolation of the Who's In permission component.

  13. In the Contractor Permissions section, select which modules the contractors will have access to in your chosen location (if applicable).

  14. Click Next.

  15. In the General Permissions section, click Next.

  16. Under 'Who will have these permissions?', select the employee(s) you want to assign to the security group.

  17. Click Save.
