The worker type wizard helps admins identify the correct worker type when adding a new person to the platform. It asks a short series of questions about the nature of the engagement and recommends the most appropriate worker type based on the answers provided.
Note
The + Add Worker dropdown shows two options: Onboard and Find Talent. Quick Add and HeroForce are no longer separate dropdown options — they are now reached via the Onboarding and classification flow described below.
Important
The checker provides a recommendation only. The final classification decision rests with the admin. If you are unsure how to classify a worker, we recommend seeking independent legal advice before proceeding.
Daily activities
- Click the People menu.
- Click the People List submenu.
- Click the + Add Worker button, then select Onboard.
-
In the Add a worker modal, select Not sure which type applies?
Helpful Hint
If you already know the worker type, you can select it directly from the modal without going through the wizard. The four tiles available are Employee, Contractor, Volunteer, and HeroForce.
- Answer each question presented. The questions will vary depending on your previous answers, and each response narrows down the recommendation.
-
Review the recommendation. The wizard will display the recommended worker type along with a plain-language explanation of what that worker type means and how the answers you provided led to that recommendation.
Helpful Hint
If you want to revisit a previous answer, click < Back to return to the previous question within the wizard. If you would rather start over and choose a different engagement model entirely, click Change worker type to return to the engagement model tiles and reset your selection.
- If you agree with the recommendation, click Continue. You will then be given the option to Start onboarding for the recommended worker type, and for the Employee, Contractor, and Volunteer worker types, you will also have the option to Quick Add. Quick Add is not available for HeroForce Local or HeroForce Global.
Further information
The wizard can recommend any of the following worker types:
- Employee — a worker employed directly by your organisation, managed through payroll and compliance by your team.
- Contractor — an independent contractor engaged for project or deliverable-based work.
- Volunteer — an unpaid volunteer. Suitable for not-for-profit organisations. Payroll is permanently blocked for this worker type.
- HeroForce Local — Employment Hero manages payroll, compliance, and employment obligations on your behalf for a worker in the same country as your organisation.
- HeroForce Global — Employment Hero manages payroll, compliance, and employment obligations on your behalf for a worker in a different country to your organisation.
The questions adapt based on your answers, so not every path through the wizard is the same. The wizard considers factors including:
- Whether the person will be paid for their work.
- Whether your organisation is a not-for-profit.
- Whether the person is in the same country as your organisation.
- Whether the person can send a substitute to perform the work.
- Whether the person works alongside your team or independently.
- Whether your organisation sets the person's schedule.
- Whether this person is free to work for other organisations at the same time.
- Whether you want Employment Hero to manage employment obligations on your behalf.
No. The wizard is optional. If you already know the correct worker type, you can select it directly from the Add a worker modal without going through the wizard. The wizard is there to assist admins who are uncertain about how to classify a new worker.
The recommendation is not binding. If you disagree with the outcome, click Choose a different engagement model on the result screen to return to the engagement model tiles and select a worker type manually. You may also want to review your answers to the wizard questions, as a different response to any question may lead to a different recommendation.
Worker classification can be complex and the wizard is intended as a guide, not a definitive legal determination. If you are uncertain after using the wizard, we recommend seeking independent legal or employment law advice before adding the worker to the platform. Misclassifying a worker can carry legal and financial risk for your organisation.
No. The wizard only provides a recommendation. After accepting the recommendation and clicking Continue, you will be taken to Start onboarding for the recommended worker type, where the record is created. For Employee, Contractor, and Volunteer worker types, you will also have the option to Quick Add. Quick Add is not available for HeroForce Local or HeroForce Global.
