Roll Call is a feature in the EH Work mobile app that lets designated fire wardens run fire evacuation drills and real emergency roll calls. Instead of paper registers or printed staff lists, which go out of date quickly, the app builds a muster list of everyone who could be at the worksite. It draws on clock-in data, rostered shifts, and workplace declarations. When the roll call ends, the record is passed to managers for review on the web.
Roll Call is currently available to UK organisations only, as an initial release.
It must also have Roll Call access enabled under the Compliance entitlement.
Who can use Roll Call
Roll Call is for fire wardens. A Manager must assign you as a fire warden for at least one worksite before you can use it. Once you are assigned, a Roll Call tab appears in the Work module of EH Work, between the Safety and 1:1s tabs. If you are not assigned to any worksite, the tab does not appear.
Managers set up wardens on the web under Safety > Roll Call > Settings. Worksites that have been disabled in your organisation are hidden from this list. To manage or assign wardens for a worksite, select the menu (⋮) next to that worksite, then choose Manage wardens or Assign warden(s).
Start a roll call
You need an active network connection to start a roll call.
- Open EH Work, log in, and tap the Work module in the bottom navigation.
- Tap the Roll Call tab, then tap Start roll call.
- Select the worksite. If you are assigned to more than one, choose the one you need.
- Choose the event type: Drill or Real event.
- Tap Start. The muster list loads automatically.
If the roll call fails to start, the app shows "Failed to start the roll call. Please try again." Tap Retry to try again.
Only one active roll call can run for a worksite at a time. A new one cannot start for that worksite until the existing one is ended or cancelled.
The muster list
When a roll call starts, the app builds the muster list from four sources:
- People clocked in at the worksite, including those on break.
- People who have declared the worksite as their workplace for today. People working from home are excluded.
- People with a rostered shift at the worksite.
- Anyone you add manually.
Each person appears only once, even if they match more than one source. A person with approved time off that overlaps today is labelled On time off if they are rostered at the worksite or have declared it as their workplace for today.
Each person card shows an avatar, name, worker type, and a coloured status badge with a coloured left bar. The statuses mean:
| Status | Meaning |
|---|---|
| Clocked in | Clocked in at this worksite and not on break |
| On break | Clocked in at this worksite and has indicated they are on break |
| Working here | Has declared this worksite as their workplace for today |
| Late | Has a rostered shift here that has started, but has not yet clocked in |
| Published | Has a rostered shift here that has not yet started |
| No show | Had a rostered shift here that has ended, with no clock-in recorded |
| On time off | Has approved time off overlapping today |
| Clocked out | Had a rostered shift here, clocked in, and has since clocked out. They may still be in the building. |
| Added by warden | Added manually during this roll call |
Unmarked people appear at the top of the list, and people already marked safe appear at the bottom. Each group is sorted alphabetically. An elapsed timer shows how long the roll call has been running.
If no one is detected at the worksite, the app shows "No one detected at this worksite. You can add people manually." Tap Add person to add someone.
Mark people as safe
Tap a person's row to mark them as safe. They move to the bottom of the list, and the safe count in the header goes up by one. To unmark someone, tap their row again. They return to the top of the list.
To focus on specific statuses, tap Filter in the top-right corner of the muster list. Select the status chips you want, then tap Save. The list shows only matching rows. If no chips are selected, the list is unfiltered. To remove all filters, tap Clear filters on the filter screen.
Add people manually
If someone is at the worksite but is not on the muster list, such as a visitor or a contractor who is not in the system, tap Add person. Start typing a name. The app suggests matching employees from your organisation. Tap a suggestion to select that person, or keep typing to add someone who is not in the system.
Worker type is optional. A name is required. If you tap Add without entering one, the form shows "Name is required" and does not submit. Added people are labelled Added by warden. Tap Cancel to close the form without making changes.
Add notes
Tap Notes in the header. The button appears on both the muster list and the summary screen. The notes screen shows existing notes in chronological order, each with the author's name and a timestamp. If there are no notes yet, it shows "No notes yet."
Type your note in the field pinned at the bottom and tap Save. The note is added to the thread under your name, and the field clears so you can add another. Notes are visible to managers on the web.
If you are offline when you save a note, it is stored on the device and syncs when your connection returns.
End a roll call
- When you have accounted for everyone you can, tap Proceed on the muster list.
- Read the confirmation prompt:
- If everyone is marked safe, the prompt reads: "All X people are marked safe. End the roll call?"
- If anyone is still unmarked, the prompt reads: "X people will be recorded as missing. End the roll call?" It also says that you can reclassify statuses and add notes on the web once the roll call has ended.
- Tap Confirm to end the roll call, or Cancel to return to the muster list with no changes.
- The summary screen shows the final safe count, the missing count, and the elapsed time, along with the message: "You can reclassify statuses and add notes on the web once the roll call is ended."
- Tap Done to return to the EH Work home screen.
Anyone not marked as safe when the roll call ends is recorded as missing.
Cancel a roll call
If you started a roll call by mistake, tap Cancel roll call. This is a secondary action, kept separate from Proceed. The app asks you to confirm with the message: "Cancel this roll call? It will not be saved or included in reports."
Tap Confirm to cancel. You return to the Roll Call tab home screen, and the roll call does not appear in any list or report. To keep going instead, tap back on the prompt.
Cancelling requires an active network connection and cannot be undone. A server-side audit record (timestamp, warden, and worksite) is kept, but it is not shown anywhere in the product.
Work offline
If your connection drops during a roll call, a banner appears: "No internet connection, changes will sync when you reconnect." You can keep marking people safe. Your changes are recorded on the device and the list updates on screen. When the connection returns, queued changes sync automatically, including any manually added people and notes, and the banner disappears.
You can also end the roll call while offline. The roll call ends on your device, and the submission is queued to sync once you reconnect. Starting and cancelling a roll call always require a network connection.
Review records on the web
Managers review completed roll calls at Safety > Roll Call > History. From there, they can:
- Filter records by date range. The selected range includes the current date.
- Reclassify an attendee's status. A reason is required before the change can be saved.
- Add notes to the record.
- Export the record as a PDF.
Exported files are named in the format [org_name]_roll_calls_[MM]_[YYYY], for example jo_uk_roll_calls_08_2026. The timestamp in the PDF reflects your local UTC offset.
Frequently asked questions
Why does someone appear on the muster list after clocking out?
People who had a rostered shift, clocked in, and have since clocked out appear with the status Clocked out. They may still be in the building if they forgot to clock out. If you do not mark them as safe before ending the roll call, they are recorded as missing.
Can I run a roll call for more than one worksite at the same time?
Each roll call is tied to a single worksite. If you are a warden for several worksites, select the relevant one when you tap Start roll call. Only one active roll call can run per worksite at a time.
Is Roll Call available outside the UK?
Not at this time. Roll Call is currently available to UK organisations only as an initial release. Availability in other regions may be expanded in the future.
