Manage leave types and leave policies

Available for the following HR classic plans: Standard, Premium, Platinum
Available for the following user access level: Admin

Leave types and leave policies form the basics of leave in Employment Hero.

  • A leave type is the type of leave selected by the employee (e.g. annual leave).
  • A leave policy determines the rules associated with that leave type (e.g. 20 days of annual leave should be given on 1st January each year).

How your employees' leave balances are calculated will depend on the setup of your leave types and leave policies. 

Before managing leave for your organisation, ensure that your HR and Payroll platforms are connected. To learn how to do this, please refer to this article.

Helpful Hint

The following leave types and policies are included by default:

  • Annual leave
  • Hospitalisation leave
  • Leave without pay (unpaid leave)
  • Maternity leave
  • Paternity leave
  • Sick leave

Set up leave

Step 1: Adding a leave type
  1. Log in to Employment Hero.
  2. Click the Settings menu.
  3. Click the Leave Types submenu.
  4. Click on the +Add Leave Type button.

  5. Complete the following fields:
    • Leave Type Name
    • Leave Balance Tracking
      • The Track balance accruals and leave taken option will allow you to create and manage leave balances for employees.
      • Only track leave taken will allow employees to submit a leave request for the leave type, without any balances to manage.
    • Unit Type
      • Hours
      • Days
    • Restrict Leave Visibility (Optional)
      • Select Show leave after Confirmed date to prevent employees on probation taking the particular leave type. To view or change an employee's probation length, please refer to this article. Alternatively, if no probation length is chosen, the leave type will be shown three months after the employee's start date.
      • Choose Leave reason required to require a reason for taking leave.
    • Tiered Leave Entitlements (Optional)
      • Select Enforce tiered leave entitlement rule to link an employee's leave balance to their length of service. 
    • Rounding (Optional)
      • Select Enforce rounding rule to change how the platform calculates leave rounding. 
  6. Click Save.

Step 2: Adding a leave policy
  1. Once you click Save in Step 1, you will be prompted to add a leave policy.
  2. Complete the following fields:
    • Leave Policy Name
    • Accrual Details
      • Accrual Starts
      • Amount Accrued. 
      • You can +Add Tier if, for example, employees earn more days of annual leave per year of service with the company.
    • Carry Over Amount
      • This allows employees to carry unused leave balances to the next period. You can choose None, Unlimited, or Up to X days per year.
    • Carry Over Date
      • If the leave accrues yearly, the carry over date will trigger on the yearly accrual date. Otherwise, you can set the date when leave will be carried over to the next period.
      • With Forfeiture Amount, you can specify if any unused leave will be forfeited if not taken by the employee within a certain period. 
      • The unused leave will be forfeited if not used by the Forfeiture Date, specified in months after the carry over date.
    • Pro Rata for Part Time/Casual Employees
      • Select Pro rata accrual based on employee's hours to prorate an employee's leave entitlements based on their weekly hours. For example, if your organisation's default normal working hours are 8 hours per week and an employee's normal working hours are 4 hours per week, they will receive 50% of the leave accrual amount.
    • Leave Balances for New Employees
      • Select Do not apply leave balance to employees on assignment if you want to manually assign balances to your new employees.
      • Select Apply full balance amount on employee assignment if your employees should receive the full amount of leave assigned to this policy.
      • Select Apply a pro rata amount on employee assignment if you want your employees to receive a prorated leave entitlement based on their start date (Note: the calculation is based on calendar days in a year).
  3. Click Save.

Edit and remove leave

Editing a leave type
  1. Log into Employment Hero.
  2. Click the Settings menu.
  3. Click the Leave Types submenu.
  4. Click the   button on the leave type that needs editing.
  5. Click    Edit.

  6. Make the required changes, then click the Save button.
Editing a leave policy
  1. Log into Employment Hero.
  2. Click the Settings menu.
  3. Click the Leave Types submenu.
  4. Click the Actions button on the leave policy that needs editing.
  5. Click    Edit.

  6. Make the required changes, then click the Save button.
Deleting a leave policy
  1. Log into Employment Hero.
  2. Click the Settings menu.
  3. Click the Leave Types submenu.
  4. Click the Actions button on the leave policy that needs deleting.
  5. Click    Delete.

  6. Click Delete on the confirmation popup.
Disabling a leave type
  1. Log into Employment Hero.
  2. Click the Settings menu.
  3. Click the Leave Types submenu.
  4. Click the   button on the leave type that needs disabling.
  5. Click    Disable.

  6. Click Disable on the confirmation popup.
Deleting a leave type

Before deleting a leave type, you must first unassign all employees from all policies under the leave type.

  1. Log into Employment Hero.
  2. Click the Settings menu.
  3. Click the Leave Types submenu.
  4. Click the   button on the leave type that needs editing.
  5. Click    Delete.
