Edit and delete leave requests

Available for the following plans: Lite, Plus, Unlimited HR, Essentials, Engage, Elite, Unlimited HR+Payroll

Managing your leave requests for employees or unavailability for contractors helps keep your time away from work accurately logged while ensuring your manager and team stay informed.

With the My Leave Requests and Unavailability features, workers can manage their requests as needed to reflect schedule changes. This flexibility helps maintain clear communication and prevents scheduling conflicts.

Important

This article assumes you as an employee can access the Actions button on your My Leave Requests page. If the Actions button is not visible, you can neither edit nor delete your leave request and should contact your employer for assistance and/or approval. Employer approval is especially important if your leave has already been processed in a pay period. Contractors can manage their unavailability instantly via the dedicated Unavailability dashboard.

Manage leave as an employee

Edit leave request
  1. Log into the Employment Hero platform.
  2. Click the Time menu.
  3. Under Leave, click the My Leave submenu.
  4. Find the leave request you want to edit.
  5. On the relevant row, click the Actions drop-down button.
  6. Click the Edit button.

  7. Make the required changes.
  8. (Optional) Click the Add document button and attach one or more files. 
  9. Click the Submit button.

The leave logic rules: Keeping leave records accurate is a vital part of staying compliant and ensuring your payroll is correct. To support this, we have updated the platform logic to:

  • Prevent employees from deleting or editing leave requests that have already been approved or were previously approved that have already started, or have already ended. 
  • They can edit can edit/delete approved or previously approved leave requests that are scheduled to start in the future. 
  • They can only edit the end date of an approved or previously approved open-ended leave request that has already started. These are leave requests that were submitted with a start date but no end date, and approved without an end date. Editing the end date will resubmit the request for approval.
  • Pending leave requests can always be edited/deleted.
  • Managers/admins can always edit/delete leave requests (pending or approved) until it has been processed, as long as it is not their own.

This update removes the risk of leave balances being incorrectly adjusted for time off that has already been taken or agreed upon with a manager and reduces administrative burden.

Delete leave request
  1. Log into the Employment Hero platform.
  2. Click the  Time menu.
  3. Under Leave, click the My Leave submenu.
  4. Click the Actions drop-down button.
  5. Click the Delete button.

Manage unavailability as a contractor

Cancel my unavailability request

Helpful Hint

When a contractor is offboarded, any future unavailability periods are automatically cancelled, keeping schedules clean without manual cleanup.

  1. Log in to the Employment Hero platform.
  2. Click the  Time menu.
  3. Click the Unavailability submenu.
  4. Locate the scheduled item in the log and click its corresponding Cancel button under the Actions column. cancel.png
  5. On the confirmation pop-up prompt labeled Cancel unavailability, click the Yes, cancel it button to complete the removal.
