Create a note/documents-required leave type

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following user access levels: Admin

If you want to mandate leave requests being accompanied by supporting documentation, such as sick leave accompanied by a medical certificate, you can create a notes/documents required leave type.

Create a note-required leave type

Create a note-required leave type
  1. Log into your Employment Hero platform.
  2. Click the Settings menu.
  3. Click Leave settings.
  4. Click the Leave Types tab.
  5. Click the + Add Leave Type button.

  6. Complete the following fields:
    • Leave Type Name.
    • Leave Balance Tracking
    • Leave Type Setup
    • Unit Type
    • Do you want to apply leave rounding rules?
    • Require an end date on leave request submission.
    • Return to work form (optional)
    • Require comments or documents on leave request submission? - tick Notes Required.

  7. Tick Require notes or documents on leave request submission?
  8. Under Other Settings, select the following:
    • Leave reason required
    • Include in Bradford factor calculation
    • Prevent negative leave balances
    • Hide balances from pay slips
    • Hide accruals from pay slips
  9. Click the Save button.

  10. To add a leave policy, complete the following fields:
    • Leave Policy Name.
    • Accrual Details:
      • Accrual Starts.
      • Amount Accrued.
    • Carry Over Amount.
    • Carry Over Date.
    • Pro Rata for Part Time/Casual Employees.
    • Leave Balances for New Employees. 
  11. Click the Save button.

  12. To assign the policy to certain employees, drag their name from the Available column to the Selected column.

    Helpful Hint

    You can click the >> button to move all employees to the Selected column.

  13. Click the Save button.

  14. When your employees now add a new leave request using the notes/documents required leave type, the notes/documents field will be mandatory to complete.

  1. Log into your Employment Hero platform.
  2. Click the Settings menu.
  3. Click Leave settings.
  4. Click the Leave Types tab.
  5. Click the + Add Leave Type button.

  6. Complete the following fields:
    • Leave Type Name.
    • Leave Balance Tracking
    • Leave Type Setup
    • Unit Type
    • Do you want to apply leave rounding rules?
    • Require an end date on leave request submission.
    • Return to work form (optional)
    • Require comments or documents on leave request submission? - tick Documents Required.

    • Under Other Settings, select the following:
      • Leave reason required

  7. Click the Save button.

  8. To add a leave policy, complete the following fields:
    • Leave Policy Name.

    • Carry Over Date.

    • Leave Balances for New Employees. 
  9. Click the Save button.

  10. To assign the policy to certain employees, drag their name from the Available column to the Selected column.

  12. When your employees now add a new leave request using the notes/documents required leave type, the notes/documents field will be mandatory to complete.

Helpful Hint

You can select both Notes Required and Documents Required for the same leave time if you​ would like your employees to add a note regarding their leave request and also require a document to be uploaded to their leave request.
