Set up recruitment email templates

New Settings Look & Feel

The Settings page on the Employment Hero platform has been updated to a new user interface. This change affects where certain settings appear and the steps you take.

  • Organisations created after 15 May 2025 automatically see this new page.
  • Older organisations created before 15 May 2025 can turn the new Settings UI change on. To do this, click the beta flask icon beside the notification bell icon at the top right part of your screen. Click the on switch for "New Settings Look & Feel." This new look will automatically be turned on for everyone on 12 November 2025.

The Email Templates feature enables you to design custom recruitment email templates tailored to communicate effectively with your candidates. This feature not only allows you to craft initial outreach emails but also to update the content as recruitment strategies evolve or delete templates that are no longer relevant. Lastly, you can streamline your communication process by reusing these templates for various recruitment stages, ensuring consistency and efficiency in candidate engagement.

Getting started

Add a recruitment email template
  1. Click the   Settings menu.
  2. In the Recruitment & Onboarding section, click the Recruitment submenu.
  3. Click the Email Templates tab.
  4. Click the   Add a Template button.

  5. Complete the following fields:
    • Template name.
    • Email subject.
    • Email body.
  6. Click the Save button.

Daily activities

Preview a recruitment template
  1. Click the   Settings menu.
  2. In the Recruitment & Onboarding section, click the Recruitment submenu.
  3. Click the Email Templates tab.
  4. Click the   button.

  5. Click the   Preview button.

    Helpful Hint

    You will now see your recruitment template on your screen.

Editing data

Edit a recruitment email template
  1. Click the   Settings menu.
  2. In the Recruitment & Onboarding section, click the Recruitment submenu.
  3. Click the Email Templates tab.
  4. Click the   button.
  5. Click the   Edit button Template_5.jpg
  6. Make the required changes and click the Save button.

Create System email Templates

There are also recruitment system email templates that can be edited.

  1. Click the   Settings menu.
  2. In the Recruitment & Onboarding section, click the Recruitment submenu.
  3. You will see what system options are available, like EOI and AI Agent: Video Interview Invitation .
  4. Click the template you wish to edit.

Deleting data

Delete a recruitment email template
  1. Click the   Settings menu.
  2. In the Recruitment & Onboarding section, click the Recruitment submenu.
  3. Click the Email Templates tab.
  4. Click the   button.
