Create, publish, and edit shifts

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited

⚠️Work Sites & Positions Rostering: This version of rostering uses work sites and employee positions instead of cost centres. It's currently available to customers who joined Employment Hero recently. Existing customers will be migrated to this system over the coming months.

The enhanced Rostering Management feature allows you to create and view shifts using an intuitive Work Site View interface. You can create shifts directly within specific work sites and positions, switch between different viewing modes, see weather information for outdoor work sites, and publish shifts to notify employees. This streamlined approach ensures shifts are always associated with the correct work location and employee role.

Creating shifts

Create a shift in Work Site View
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Ensure you are in Work Site View (this is the default view).
  5. Navigate to the day you want to create a shift using the calendar controls.
  6. Click any + tile under a Position within your desired Work Site.

  7. Fill in the shift details:
    • Choose between creating a Single shift or a Bulk shift
    • Employee: Select from eligible employees (only employees assigned to this position will appear)
    • From (time): Enter the start time
    • To (time): Enter the end time
    • Work Site: Auto-filled based on where you clicked (can be changed)
    • Position: Auto-filled based on where you clicked (can be changed within same Work Site)
    • Certification
    • Employee
    • Note
  8. Click Save or Save and Publish.

Note: Work Site and Position are now mandatory fields. If you change the Work Site, the Position field will be cleared and you'll need to select a new position from the new Work Site.

Create a shift in Employee View
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Switch to Employee View using the view toggle.
  5. Navigate to the day you want to create a shift.
  6. Click the + tile under the employee's name for your desired time slot.
  7. Fill in the shift details:
    • Choose between creating a Single shift or a Bulk shift
    • From (time): Enter the start time
    • To (time): Enter the end time
    • Work Site: Select the work site
    • Position: Select from the employee's eligible positions at the chosen work site
  8. Click Save or Save and Publish.

Note: Created shifts will display Work Site & Position directly on the shift tile, keeping key details visible at a glance.

Ways to view shifts

Switch between Work Site View and Employee View
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Use the view toggle to switch between:
    • Work Site View: Groups roster by Work Sites, with Positions listed underneath
    • Employee View: Organises shifts by individual employees
Filter roster by Work Sites
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Ensure you are in Work Site View.
  5. Use the Work Site filter to view specific work sites only.
  6. Select one or multiple work sites from the filter dropdown.
View weather information
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Ensure you are in Work Site View.
  5. Look for the weather icon and forecast displayed next to each Work Site name.
  6. Hover over the weather icon to view detailed weather information.

Note: Weather information helps with outdoor or season-sensitive shift planning.

Publishing and unpublishing shifts

Publish all shifts
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click Publish all shifts.
  5. Confirm the action.

Note: Published shifts will appear light blue in colour and employees will receive email notifications.

Publish selected shifts
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click Actions Publish shifts.
  5. Select the shifts you want to publish using the checkboxes.
  6. Click Publish Shifts.
  7. Click Submit.
Publish a shift while creating
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Create a new shift following the steps in the "Create a shift" sections above.
  5. Instead of clicking Save, click Save & Publish.
Unpublish a single shift
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click on the published shift you want to unpublish.
  5. Click Unpublish.
  6. Confirm the action.
Unpublish multiple shifts
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click Actions Unpublish shift.
  5. Select the shifts you want to unpublish using the checkboxes.
  6. Click Unpublish.

Editing published shifts

Edit a published shift directly

You can now edit published shifts directly without needing to unpublish them first. This streamlines the shift management process and saves time.

  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click on the published shift you want to edit. Editable shifts will display a pencil icon.
  5. Make your desired changes to the shift details.
  6. Click Save to update the shift.

Note: The Unpublish button will be hidden while you are editing shift information, allowing you to edit and unpublish shifts from the same panel if needed.

Note: If the Lock shifts setting is enabled, you will not be able to edit a clocked shift or a shift with an approved timesheet.

Drag and drop published shifts

Published shifts can be moved using drag and drop, making it easy to reassign shifts between employees or time slots.

  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click and hold the published shift you want to move.
  5. Drag the shift to the desired time slot or employee row.
  6. Release to drop the shift in its new location.
Copy and paste published shifts

You can copy and paste published shifts to quickly duplicate shift patterns.

  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click on the published shift you want to copy.
  5. Use the copy function to duplicate the shift.
  6. Navigate to the desired location and paste the shift.
Shifts that cannot be edited

Some published shifts are protected from editing to maintain data integrity:

  • Clocked shifts: Shifts where an employee has already clocked in cannot be edited. This ensures accurate timesheet records.
  • Locked shifts: Shifts that have been locked by an administrator cannot be edited.

Note: Only shifts that can be edited will display a pencil icon. If you don't see the pencil icon on a shift, it means the shift is either clocked or locked and cannot be modified.

When to use the worksite view

The Work Site View is the new default interface for rostering that provides several improvements:

  • Work Site Grouping: Roster is organised by Work Sites, with Positions listed underneath each work site
  • Weather Integration: Weather icon and forecast appear next to each Work Site name, helping with outdoor or season-sensitive shift planning
  • Filtering: Filter roster by specific Work Sites to focus on particular locations
  • Visual Organisation: Clear hierarchy showing Work Site Position Shifts
When to use the employee view

Employee View offers an alternative way to manage shifts when you prefer to organise by person rather than location:

  • Person-focused: View all shifts for each employee in one place
  • Work Site & Position visibility: Created shifts still display Work Site & Position information directly on the shift tile
  • Drag and drop: Move shifts between employees while maintaining work site and position requirements
Publishing shift benefits

Publishing shifts provides several benefits for both managers and employees:

  • Employee notifications: Employees receive email notifications when shifts are published
  • Employment Hero Work integration: Published shifts automatically appear in the Employment Hero Work app
  • Visual indicators: Published shifts appear light blue to distinguish them from draft shifts
  • Flexible editing: Published shifts can be edited directly, or unpublished if you need to make changes and republish. Clocked and locked shifts are protected from editing to maintain data integrity.
