Managing and moving shifts

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited
Time & Attendance Add-on for Essentials, Engage, Elite
Available for the following user access level: Admin, Manager

⚠️Work Sites & Positions Rostering: This version of rostering uses work sites and employee positions instead of cost centres. It's currently available to customers who joined Employment Hero recently. Existing customers will be migrated to this system over the coming months.

The enhanced Rostering Management feature provides multiple ways to manage and move shifts efficiently. You can edit shift details, drag and drop shifts to new times or locations, copy and paste shifts for quick duplication, and copy entire shift patterns to future weeks. This flexibility allows you to quickly adjust schedules while maintaining work site and position requirements.


 

Editing shifts

Edit a shift
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click on pen icon on the shift you want to edit.
  5. In the Edit a shift panel, make the necessary changes to:
    • Date
    • Start and end times
    • Break times
    • Work Site
    • Position
    • Certification (optional)
    • Employee
    • Role
    • Work type (optional)
    • Shift conditions
    • Classification
    • Comments (optional).
  6. Click Publish.

Note: You cannot edit a shift once it has been published. You must unpublish it first before making any changes.

Moving shifts with drag and drop

Drag and drop shifts in Work Site View
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Ensure you are in Work Site View.
  5. Click and hold a draft or unpublished shift tile.
  6. Drag the shift to:
    • Different day: Move to another day within the same position
    • Different Work Site: Move to a position in another work site
    • Different Position: Move to another position within the same or different work site
  7. Release the mouse button to drop the shift in the new location.

Note: Greyed-out cells indicate invalid drop zones where the employee is not eligible for that position.

Drag and drop shifts in Employee View
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Switch to Employee View.
  5. Click and hold a draft or unpublished shift tile.
  6. Drag the shift to:
    • Different day: Move to another day for the same employee
    • Different employee: Move to another employee (subject to position eligibility)
  7. Release the mouse button to drop the shift in the new location.

Copying and pasting shifts

Copy and paste a single shift
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click on the shift you want to copy.
  5. Click Copy (or use the keyboard shortcut Ctrl (on PCs) or Cmd (on Apple computers) + C).
  6. Navigate to the new time slot where you want to paste the shift.
  7. Click on the target cell.
  8. Click on the clipboard icon (or use the keyboard shortcut Ctrl (on PCs) or Cmd (on Apple computers) + V).
  9. Adjust any details as needed in the new shift.
  10. Click Save or Save and Publish.

Copying shifts to next week

Copy shifts to next week (simple)
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Navigate to the week containing the shifts you want to copy.
  5. Click Actions Copy shifts Copy shift to next week.
  6. The system will automatically copy all shifts from the current week to the following week.
  7. Review the copied shifts and make any necessary adjustments.
Advanced copy shifts
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click Actions.
  5. Click Copy shifts.
  6. Click Advanced Copy.
  7. Configure your copy settings:
    • Source date range: Select the date range to copy from
    • Target week: Choose which week to copy the shifts to
    • Employees: Select specific employees or all employees
  8. Click Copy Shifts.
  9. Review and adjust the copied shifts as needed.

Deleting shifts

Delete a single shift
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Click on the shift you want to delete.
  5. Click on Actions.
  6. Click Delete Shift.
  7. Confirm the deletion.

Note: You cannot delete a shift once it has been published. You must unpublish it first before deletion.

Delete multiple shifts
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Rostering Management option, under the Rosters header.
  4. Select multiple shifts by holding Ctrl (on PCs) or Cmd (on Apple computers) and clicking each shift.
  5. Click Actions Delete shifts.
  6. Confirm the deletion.

Drag and drop limitations

When using drag and drop functionality, keep in mind these important limitations:

  • Published shifts: Only draft or unpublished shifts can be dragged and dropped
  • Employee eligibility: Shifts can only be dropped in positions where the employee is eligible
  • Visual indicators: Greyed-out cells show where shifts cannot be dropped
  • Work site requirements: Position eligibility is enforced when moving between work sites
About using the copy and paste function

Copy and paste functionality provides several advantages for efficient roster management:

  • Time saving: Quickly duplicate similar shifts without manual re-entry
  • Consistency: Maintain consistent shift details across different time slots
  • Bulk operations: Copy multiple shifts simultaneously for pattern replication
  • Keyboard shortcuts: Use familiar Ctrl (on PCs) or Cmd (on Apple computers) + C and Ctrl (on PCs) or Cmd (on Apple computers) + V shortcuts for faster operation
Advanced copy considerations

When using advanced copy features, consider these important factors:

  • Employee availability: Copied shifts maintain original employee assignments but check for conflicts
  • Position eligibility: Ensure employees are still eligible for positions in the target time period
  • Date ranges: Advanced copy allows flexible source and target date selection
  • Review required: Always review copied shifts before publishing to ensure accuracy
