Monitoring Timesheet Activity

Available for the following EmploymentOS plans: Employment Lite, Employment Plus, Employment Unlimited

⚠️Work Sites & Positions Timesheets: This version of timesheet management uses work sites and employee positions instead of cost centres. It's currently available to customers who joined Employment Hero recently. Existing customers will be migrated to this system over the coming months.

Monitoring timesheet activity provides detailed insights into how and when timesheets were submitted, helping with dispute resolution, compliance tracking, and audit requirements. You can view clocking details, review submitted photos, and track all changes made to timesheets throughout their lifecycle.

Viewing clocking details

Access clocking details
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Timesheet Management.
  4. Look for timesheets with a Phone icon (EH Work) or Tablet icon (Hero Time Clock).
  5. Click on the timesheet to open the side panel.
  6. Scroll down to the Clocking Details section.
  7. Review the clocking information including:
    • Clock-in time: Exact time employee clocked in
    • Clock-out time: Exact time employee clocked out
    • Method: Device used (phone or kiosk)
    • Location: GPS coordinates or time clock location
    • Photos: Images captured during clocking (if enabled)

Note: Clocking Details only appear for timesheets created from clocking activity via the Work app or Hero Time Clock.

View and expand timesheet photos
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Timesheet Management.
  4. Click on a timesheet with clocking details.
  5. In the side panel, navigate to the Clocking Details section.
  6. Look for photo thumbnails next to clock-in or clock-out entries.
  7. Click on any photo thumbnail to expand it to full size.
  8. Use the expanded view to:
    • Verify employee identity
    • Confirm work location
    • Review any work-related details in the image

Photos help verify the authenticity of clock-in/out activities and can be useful for resolving timesheet disputes.

Checking audit trail logs

View timesheet audit trail
  1. Log into your Employment Hero HR platform.
  2. Click the Time menu.
  3. Click Timesheet Management.
  4. Click on any timesheet to open the side panel.
  5. Scroll down to the Audit Trail Log section.
  6. Review the chronological history showing:
    • Who: Admin or Employee name who performed the action
    • What: Specific action taken (Approve, Edit, Link shift, etc.)
    • When: Exact timestamp of the action
    • How: Method used (manual input, clocking device, system automation)

The audit trail provides complete transparency and accountability for all timesheet changes throughout its lifecycle.

Track specific timesheet changes
  1. Navigate to the timesheet you want to investigate.
  2. Open the Audit Trail Log section.
  3. Look for specific types of actions:
    • Edit entries: Manual field changes and who made them
    • Status changes: Approve, Decline, or other status transitions
    • System updates: Auto-approvals, rounding, or automated changes
    • Linking activities: Connecting or disconnecting rostered shifts
  4. Use timestamps to understand the sequence of events.
  5. Reference user names to identify who made specific changes.

This detailed tracking helps resolve disputes and ensures compliance with workplace policies and regulations.

Understanding monitoring information

What clocking details capture

Clocking Details provide comprehensive information about timesheet submission:

  • Timing data: Precise clock-in and clock-out timestamps
  • Device information: Whether submitted via phone (EH Work) or tablet (Hero Time Clock)
  • Location data: GPS coordinates or designated time clock location
  • Visual verification: Photos captured during the clocking process
  • Method verification: Confirmation of how the timesheet was created

This information helps verify timesheet accuracy and provides evidence for audit trails and compliance requirements.

Types of audit trail actions

The audit trail captures various types of activities:

  • Clock-in/out events: When employees clock in or out via Work App or HTC
  • Manual edits: Field changes made by admins or employees
  • Status transitions: Approve, Decline, or other status changes
  • System automation: Auto-approvals, time rounding, or other automated updates
  • Linking activities: Connecting or disconnecting timesheet from rostered shifts
  • Creation events: When new timesheets are added to the system
  • Deletion events: When timesheets are removed
When monitoring features appear

Clocking Details appear when:

  • Timesheets are submitted via the EH Work app (phone icon)
  • Timesheets are submitted via Hero Time Clock (tablet icon)
  • Clock-in/out activity was used to create the timesheet

Audit Trail appears for:

  • All timesheets regardless of submission method
  • Every action taken on the timesheet from creation to processing
  • Both manual and automated system changes
Using monitoring for compliance

Monitoring features support various compliance and business needs:

  • Dispute resolution: Provide evidence when timesheet accuracy is questioned
  • Audit requirements: Demonstrate proper timesheet management processes
  • Policy compliance: Verify employees are following clocking procedures
  • Payroll verification: Confirm timesheet data integrity before processing
  • Location verification: Ensure employees are clocking in/out at correct locations
  • Identity verification: Use photos to confirm the correct employee clocked in/out
Required settings for enhanced monitoring

To access full monitoring capabilities, ensure these settings are enabled:

  • Photo capture: Enable in time clock or app settings to capture verification images
  • Location tracking: Enable GPS tracking for location verification
  • EH Work app: Enable clock in/out functionality in Company Settings
  • Hero Time Clock: Set up time clocks with photo and location capabilities

Note: Without photo capture enabled, clocking details will show timing and location information but no verification images.
