Public holiday calendars in Employment Hero ensure your employees can submit accurate leave requests based on the holidays that apply to their specific location. You can set up both standard public holiday calendars (automatically populated based on country) and custom calendars for organisation-specific holidays. These calendars are linked to your locations, enabling location-specific holiday management across your workforce.
Custom Security Settings
Organisations with Custom Security Settings (CSS) entitlement can delegate Public Holidays management to non-admin users, such as regional managers, with granular control[cite: 39, 40]. This permission is located under General Settings in the Permissions section and is not scoped to individual locations[cite: 45, 46].
Getting started
Add standard public holidays calendar
- Click the Settings menu.
- In the Time & Attendance section, click Public Holidays.
- Click the Add New Calendar button.
- Click the Standard Public Holiday Calendar tick box.
- Complete the following fields.
- Name.
- Locations.
- Standard public holiday calendar.
- Click the Submit button at the bottom of the page.
- Click the Settings menu.
- In the Time & Attendance section, click Public Holidays.
- Click the Add New Calendar button.
- Click the Custom Holiday Calendar tick box.
- Complete the following fields:
- Name.
- Locations.
- Year.

Click the Add New button to enter your custom public holiday.
Helpful Hint
Click the Remove button to delete a custom calendar entry.
- Click the Submit button.
Managing public holiday calendars
- Click the Settings menu.
- In the Time & Attendance section, click Public Holidays.
- Click the Actions button.
- Click the Edit button.

Warning
When editing a public holiday calendar, Employment Hero will prevent you from removing any holiday date that has a leave request attached to it, which you can see when the platform greys out a public holiday date.
Warning
When deleting a public holiday calendar, we will prevent you from removing this entry if any holiday date within the calendar has a leave request attached to it. You can see this info as the platform will grey out a public holiday date that is in use.
Control how public holidays are displayed in leave calendars
- Click the Settings menu.
- In the Time & Attendance section, click Public Holidays.
- Toggle the "Show public holidays on leave calendars" option on or off to control whether public holidays are displayed in leave calendars.
- Change the "Public Holiday Colour" to control the colour by which public holidays are displayed on leave calendars.
Note
These changes affect all public holiday calendars across the leave calendars in the Leave Management and My Leave, as well as the Leave Calendar widget in your dashboard.
Delegating Public Holidays Management
Administrators can assign three granular, independent permission levels for Public Holidays management in Custom Security Settings[cite: 44]:
- View (Read): Provides read-only access to lists, details, and data exports[cite: 59].
- Modify (Write): Allows users to create new records and edit existing records (includes View)[cite: 60].
- Delete (Remove): Allows users to delete records (includes View, but does NOT include Create/Edit)[cite: 61].
Note: These permissions are not cascading[cite: 62]. For full management access, a user must be granted both Modify and Delete levels[cite: 51, 62].
- Click the Settings menu.
- Click Permissions (under the General section).
- Select the Permission Group you wish to edit or create a new group[cite: 55].
- Navigate to the General permissions tab[cite: 46, 57].
- Locate Public Holidays and select the appropriate checkboxes: View, Modify, or Delete[cite: 56].
- Click Save[cite: 57]. Changes take effect immediately for assigned users[cite: 57].
Note: The "Use" checkbox is blocked; selecting all three levels (View + Modify + Delete) is equivalent to full management access[cite: 57, 63].
Frequently asked questions
At this stage, only the Standard Public Holiday Calendars for your organisation's original country use on your platform are available. For example, if you set up your original country as Australia, you will only be able to access the Australian standard public holiday calendar. This remains the case even if you later add a New Zealand country location to your platform.
For any custom public holiday calendars, these will need to be updated every year, as they are not auto-updated by the platform.
Where multiple public holiday calendars have been set up and linked to a particular location, all the public holidays combined within both calendars will apply to the employees who are classified under that location.
Newly created Public Holidays will only be applied to any future Leave Requests that have not yet been submitted by employees.
Yes. All creation, editing, and deletion of public holiday records, as well as changes to permission assignments, are logged in the Organisation Audit Trail Report with actor details and timestamps[cite: 39, 42, 65].
