Using Stage View to manage candidates

Available for the following plans: Employment Lite, Employment Plus, Employment Unlimited
Available for the following HR plans: Free, Standard, Premium, Platinum
Available for the following User Access level: Manager, Admin

Stage View provides a focused interface for managing candidates through your hiring process. This view allows you to concentrate on one stage at a time, making it ideal for managing large candidate pools, reviewing detailed candidate information in a list format, and taking action on multiple candidates efficiently using bulk actions.

Helpful Hint

Stage View is particularly useful when managing jobs with a large number of candidates or when you prefer to focus on one stage at a time. Board View is the default view for new ATS users. Existing users will see Stage View on first login, but your view preference is automatically saved as you switch between views. You can toggle between Board View and Stage View at any time.

Accessing Stage View

Switch to Stage View from Board View
  1. Click the  Recruitment menu.
  2. Click the Recruitment submenu.
  3. Click the Jobs tab.
  4. Click on the job role you want to view.
  5. Click the Stage View toggle button to switch from Board View.

Helpful Hint

Your view preference is automatically saved. The next time you access this job or any other job, the platform will remember your last selected view.

Viewing and navigating candidates

Filter candidates by stage
  1. In Stage View, locate the stage tabs at the top of the page (e.g., New, In Review, Phone Screen, Assessment, Interview, Background Check).
  2. Click on the stage tab you want to view.
  3. The candidate list will update to show only candidates in that specific stage.
  4. The number next to each stage tab indicates how many candidates are in that stage.
     

Helpful Hint

Stage tabs allow you to focus on one stage at a time, making it easier to manage large numbers of candidates without visual clutter.

View a candidate's profile
  1. In Stage View, click on any candidate in the list.
  2. The candidate profile will open in a panel on the right side of the screen.
  3. The candidate list remains visible on the left, allowing you to easily switch between candidates.
     

Helpful Hint

To view another candidate's profile, simply click on a different candidate in the list. The profile panel will update to show the newly selected candidate.

Search for specific candidates
  1. Locate the Search by name or email field at the top of the candidate list.

  2. Type the candidate's name or email address into the search field.
  3. The candidate list will filter in real-time to show matching results.
  4. Clear the search field to return to viewing all candidates in the current stage.
     

Helpful Hint

The search function works within the currently selected stage tab, helping you quickly locate specific candidates within that stage.

View SmartMatch scores in Stage View

Important Update

Don't see the new search bar? Search functionality is being rolled out later in the week commencing 24 Nov 2025, so will be available in your ATS soon.

Each candidate in the list displays their SmartMatch score, making it easy to identify the best-matched candidates at a glance.

  1. Look for the circular badge on each candidate row showing their match percentage (e.g., 100, 71, 35).
  2. Click on the candidate to open their full profile and see detailed SmartMatch breakdowns for Experience, Skills, and Qualifications.

Taking action on candidates

Use the Action Toolbar to manage candidates

When you click on a candidate, the Action Toolbar is located at the top of the candidate profile panel and provides quick access to essential actions.

Available actions in the Action Toolbar:

  • Notes: Add internal notes about the candidate. Clicking this opens the Action Pane.
  • Activity Log: View all actions taken on this candidate.
  • Email: Send emails directly to the candidate. Clicking this opens the Action Pane.
  • Direct Message: Send direct messages to the candidate. Clicking this opens the Action Pane.
  • Event Scheduling: Schedule interviews or meetings (integrates with Google Meet and Microsoft Teams). Clicking this opens the Action Pane.
  • Evaluations: Complete evaluation forms and assessments.

Important

When you click on Notes, Email, Direct Message, or Event Scheduling in the Action Toolbar, the Action Pane slides out from the side, keeping candidate information visible while you work. This means you never lose context while taking action.

Move candidates between stages
  1. In Stage View, click on a candidate to open their profile in the right panel.
  2. Click the Move to dropdown button at the top of the profile panel.

  3. Select the stage you want to move the candidate to from the dropdown menu.
  4. The candidate will be moved to the selected stage immediately.
     

Important

You can also move candidates to the Disqualified option in the dropdown to reject them from the hiring process.

Use bulk actions on multiple candidates

Bulk actions allow you to perform the same action on multiple candidates simultaneously, saving time when managing large candidate pools.

  1. In the candidate list, check the boxes next to the candidates you want to select.
  2. Alternatively, check the Select all box to select all candidates in the current stage.
  3. Click the Bulk actions button that appears.

  4. Select the action you want to perform on all selected candidates.
     

Important

Bulk actions are particularly useful in Stage View when you need to move multiple candidates to a new stage, send the same email to multiple people, or perform other actions at scale.

Add candidates manually or in bulk

You can add candidates to a job directly from Stage View, either one at a time or in bulk.

  1. Click the add candidate icon at the top right of the page.

  2. Choose between:
    • Manually add a candidate: Add a single candidate by entering their details or autofill using their resume.
    • Bulk upload CVs: Add multiple candidates at once by uploading their resumes.

Helpful Hint

Bulk upload is particularly useful when you're receiving resumes directly via email or from other sources outside of your job posting.

Use additional candidate actions

Additional actions are available through the three-dot menu in the candidate profile panel.

  1. Open a candidate profile by clicking on their name in the list.
  2. Click the three-dot menu icon at the top right of the profile panel.
  3. Select from available actions:
    • Edit candidate: Modify candidate information.
    • Move to job: Transfer the candidate to a different job opening.
    • Add to talent pool: Save the candidate for future opportunities.
    • Send screening questions reminder: Remind candidates to complete screening questions.
    • Block: Block the candidate from applying to future roles. You can also Unblock from here, once you have blocked a candidate.
    • Delete from job: Remove the candidate from this specific job.

Understanding Stage View features

What information is shown in the candidate list?

Each candidate row in the Stage View list displays:

  • Selection checkbox: For selecting candidates for bulk actions
  • Candidate name
  • SmartMatch score: A circular badge showing the match percentage
  • Application source: Where the candidate applied from (e.g., "Via Employment Hero")
  • Time stamp: How long ago they applied or were last updated (e.g., "Sourced 9 days ago")
  • Tags: Any special tags such as status indicators
What are the stage tabs?

Stage View displays all stages in your hiring process as tabs at the top of the page. Common stages include:

  • New: Recently applied candidates
  • In Review: Candidates being actively reviewed
  • Phone Screen: Candidates scheduled for or completed phone screening
  • Assessment: Candidates completing assessments or AI interviews
  • Interview: Candidates in the interview stage
  • Background Check: Candidates undergoing background verification
  • Hired: Successfully hired candidates

Each tab displays a number indicating how many candidates are currently in that stage.

How does Stage View handle permissions?

Stage View respects all hiring permissions set for your organisation:

  • Collaborators and Hiring Managers: Users will only see the stages and candidates they have permission to access. Other candidates will not be displayed.
  • Blind Hiring: If blind hiring is enabled for the "New" stage, candidate names will be concealed in Stage View until they are moved to a different stage.

Important

Blind hiring and permission settings work the same way in Stage View as they do in Board View, ensuring consistent security and privacy controls.

Is Stage View better for large candidate pools?

Yes, Stage View is optimised for managing jobs with large numbers of candidates, particularly those exceeding 200 candidates.

  • The list-based format allows you to efficiently scroll through and manage hundreds of candidates without performance issues.
  • Stage tabs help you focus on one stage at a time, reducing visual clutter when dealing with large applicant pools.
  • Bulk actions in Stage View make it easy to process multiple candidates simultaneously.

Helpful Hint

If you're managing a job with more than 200 candidates, Stage View is recommended for better performance. You can always switch to Board View for jobs with fewer candidates if you prefer the visual pipeline overview.

Switching between Board View and Stage View

When should I use Stage View vs Board View?

Use Stage View when:

  • You're managing jobs with more than 200 candidates
  • You want to focus on one stage at a time with detailed list information
  • You need to use bulk actions to process multiple candidates efficiently
  • You prefer a traditional list-based workflow

Use Board View when:

  • You want a visual overview of your entire hiring pipeline at once
  • You need to quickly move candidates between stages using drag and drop
  • You're managing jobs with fewer than 200 candidates
  • You prefer a visual, column-based workflow

Helpful Hint

Both views display the same information and respect the same hiring stages. You can switch between them at any time without losing any data.

How do I switch to Board View?
  1. While in Stage View, click the Board View toggle button.
  2. The view will switch to show all candidates across all stages in a visual, column-based format.
  3. Your preference will be saved for future sessions.
