The filtering tools in your Applicant Tracking System (ATS) help you narrow your candidate list to the right applicants for your roles. You can apply filters based on matching scores, screening question responses, and video interview status, and combine them with search to focus on your most promising candidates.
How to filter candidates
Filters work alongside search to help you refine your candidate list further. You can apply multiple filters at once, and they remain active as you switch between Stage View and Board View.
- Locate the matching score filter in your candidate list view.
- Use the minimum score slider to set the lowest match score you want to see.
- Use the maximum score slider to set the highest match score you want to see.
- The candidate list will update automatically to show only candidates within your selected range.
Tip: This is particularly useful when you want to focus on candidates in a specific match range, such as reviewing "good but not perfect" candidates (e.g., scores between 60-80%).
You can filter candidates based on their answers to your job's screening questions. This helps you quickly identify applicants who meet your essential criteria.
- Select the screening question filter option.
- Choose which screening question you want to filter by.
- Select the answer(s) you're looking for.
- Your candidate list will update to show only candidates who gave the selected answer.
Important limitations
- Multiple-choice only - You can only filter by multiple-choice screening questions. Free-text questions cannot be filtered.
- Unanswered questions - Candidates who didn't answer a screening question will be filtered out when you apply a filter for that question.
- Auto-disqualified candidates - These are already removed from your candidate list and won't appear in filtered results.
Best practice: Consider using multiple-choice screening questions rather than free-text questions when you need to filter candidates by specific criteria.
On jobs with Recruitment Agent video interviews enabled, you can filter your candidate list by each candidate's video interview status. Previously, you had to scroll through the entire list to find candidates at a particular status - now you can narrow the list to just the status you want to review.
Each candidate on the list shows one of the following statuses:
- Invited - The candidate has been sent a video interview invitation but has not yet completed it.
- Completed - The candidate has finished their video interview.
- Expired - The invitation lapsed without a response.
To filter by status:
- Open the filter using the filter icon next to the search bar.
- Under Recruitment Agent, find the Video interviews options.
- Select one or more statuses - Invited, Completed, or Expired.
- The candidate list will update to show only candidates matching the selected status.
Tip: Filter by Expired to quickly find candidates whose invitations have lapsed and resend their invitations, or filter by Completed to go straight to reviewing finished interview results.
Good to know
This filter is only available on jobs with Recruitment Agent video interviews enabled. If video interviews are not set up for the role, the video interview status options will not apply.
You can apply matching score filters, screening question filters, and video interview status filters at the same time. For example, you might filter for candidates with a match score above 70% who answered "Yes" to "Do you have a current driver's licence?" and whose video interview is Completed, while also searching by name or email. This combination helps you quickly identify your most promising candidates.
- Start broad, then narrow - Begin with a partial name or email domain, then add filters to refine your results.
- Try variations - If you don't find what you're looking for, try a different part of the candidate's name or an alternative email format.
- Clear filters between searches - If you're not getting expected results, check that you don't have filters still applied from a previous search. Look for a "Clear filters" or "Reset" option in your filtering interface.
- Encourage complete applications - Remind candidates to complete all screening questions to ensure they appear in filtered results.
Troubleshooting
This is expected behaviour. When you apply a screening question filter, only candidates who answered that specific question will appear in results. Candidates who skipped the question or didn't complete the screening questions section will be filtered out. You may want to follow up with these candidates to encourage them to complete all screening questions.
The video interview status filter only appears on jobs that have Recruitment Agent video interviews enabled. If you don't see the Video interviews options under Recruitment Agent in the filter, check that video interviews are set up for the role. If they're not, those status options won't apply to that job.
Currently, only multiple-choice screening questions can be filtered. Free-text questions allow candidates to provide varied responses, making it difficult to filter consistently. If you need to filter by specific criteria, consider using multiple-choice questions during job creation.
Frequently asked questions
All filters persist as you navigate between different views and candidate stages, ensuring consistent filtering across your entire workflow. However, you cannot currently save filter combinations. You'll need to reapply your filters each time you access the candidate list, though filters do remain active during your current session.
The video interview status filter is available only on jobs with Recruitment Agent video interviews enabled. On those jobs, you can filter by the Invited, Completed, and Expired statuses to manage your video interview candidates more easily - for example, to find expired invitations to resend or completed interviews to review.
