Mark an employing entity as inactive

Available for the following plans: Standard, Premium, Platinum
Available for the following user access levels: Admin Closed Beta feature

When an employing entity is no longer in use, for example, when a subsidiary winds down — you can mark it as inactive rather than deleting it. Inactive entities are hidden from active payroll screens and employee setup flows by default, but all historical pay reports remain accessible. Entities can be reactivated at any time.

Helpful Hint

Only Business Admins can mark entities as inactive or reactivate them. Payroll Admins can view inactive entities and access their historical pay reports, but cannot change an entity's status.

View inactive entities

Show inactive entities in the list

By default, only active entities appear in the employing entities list. Use the toggle below to reveal inactive ones.

  1. Navigate to Business > Payroll Settings > Additional Employing Entity.
  2. Enable the Show inactive toggle.

Inactive entities will appear in the list with a clear visual indicator, such as a badge or greyed-out style.

Mark an employing entity as inactive

Important

All active employees must be reassigned away from the entity before it can be marked inactive. If any active employees remain assigned, you will see a message listing those employees. Reassign them first, then return to complete the deactivation.

  1. Navigate to Business > Payroll Settings > Additional Employing Entity.
  2. Open the entity you want to mark as inactive.
  3. Select Mark as Inactive.

  4. Review the confirmation prompt and confirm.

The entity will be removed from active payroll screens immediately and will no longer appear in employee setup or payroll configuration dropdowns.

Reactivate an entity

Reactivate an inactive employing entity
  1. Navigate to Business > Payroll Settings > Additional Employing Entity.
  2. Enable the Show inactive toggle to locate the entity.

  3. Open the inactive entity.
  4. Select Reactivate.

The entity will return to the active list and become available for employee assignments and payroll runs.

Access historical pay reports

View pay reports for an inactive entity

Pay reports issued under an inactive entity remain fully accessible in read-only mode.

  1. Navigate to your pay reports section.
  2. Search or filter for the relevant period or entity.

Reports linked to inactive entities are displayed in read-only mode and cannot be modified.
