The Onboard Contractor feature provides a streamlined workflow to add an independent contractor profile to your organisation while simultaneously choosing and assigning their digital service agreement. Centralising this onboarding path within your platform eliminates manual administrative steps, tracks compliance documentation efficiently, and ensures error-free payroll operations.
This article will show you how to manage the following:
- Add an independent contractor file to the platform
- Sync existing contractor profiles over to payroll
- Review further synchronisation rules and feature behaviours

Add an independent contractor file to the platform
- Click the People menu.
- Click the Independent Contractors submenu.
- Click the Add Independent Contractors button.
- Click the Onboard button.
- Complete the following fields in the Basic Information section:
- Trading name.
- First name.
- Last name.
- Date of birth.
- Email.
- Country.
- Job title.
- Start date.
- Service description.
- Reports to.
- Team.
- Select either Yes or No in the Pay Details section to indicate whether to process payments through the payroll module.
- If you select No, proceed directly to the contract issuance workflow.
- If you select Yes, continue your workflow sequentially with the next step.
- Complete the following fields in the expanded Pay Details section that opens after choosing your option:
- Employing Entity.
- Primary Cost Centre.
- Pay Schedule.
- Timesheets.
- Primary Pay Category.
- Hourly Rate.
- Standard hours per day.
- Use Standard Business Daily Hours.
- Click the Continue button.
- Complete the following fields in the Payment Details section:
- Account Name.
- BSB Number.
- Account Number.
- Click the Continue button.
- Complete the following fields in the Tax Details section:
- Tax File Number.
- Tax Calculation.
- Registered for GST.

Click the Issue Contract button.
Important
After saving a contractor profile, their record populates the contractor index view on the Independent Contractors page. A red triangle indicator with an exclamation mark displays alongside their name if background synchronisation errors occur while updating the payroll platform. To evaluate these integration issues, click the contractor name to check the error message details highlighted on top of their profile page, or evaluate them in the Independent Contractors panel via the main portal verification workspace.
- Locate your desired contract and click the Actions dropdown option.
- Click the Select button.
- Apply any required adjustments and click the Continue button.
- Tick the I Have Read and Understood the Term of Use checkbox.
- Adjust the template notification email text as desired.
- Click the Email Document button.
Sync existing contractor profiles over to payroll
- Navigate to the desired independent contractor file.
- Click the Pay Details tab.
- Tick the Pay contractor on Payroll checkbox.
- Provide information across all essential entries, particularly within the dedicated Pay Details and Tax Details interface components.
- Resolve any outstanding data synchronisation warning details that display on the profile dashboard to trigger an automated baseline sync.
Review further synchronisation rules and feature behaviours
System behaviour depends heavily on exact field validation and data matching parameters between separate nodes.

Draft status restrictions: Adding a profile manually triggers an automated welcome invitation message directly to the vendor email account. To maintain a draft or pending status context without sending an email notification, select Issue Contract when performing onboarding operations. You can then exit the screen to hold the file, but you must complete the document processing actions before activating the person later.
If you need to view or modify your platform credentials or operational security preferences, navigate to your profile settings menu.
- Direction limits: Identity synchronisation runs entirely as a single-direction path, pushing data from the HR portal to the payroll service node. Updates do not mirror in reverse.
- Regional country constraints: Connected platform mapping behaviour utilises the Country selection line to determine profile data alignment eligibility. Only independent contractors operating inside Australia transfer to the active payroll service layer.

Superannuation and structural exclusions: Hourly rate remains the only supported payment calculation configuration choice. The central HR core layout does not include system fields to log superannuation contribution data. For independent contractors requiring superannuation management, you must record these parameters directly into the payroll framework once background record updates finalise. Leave tracks and timesheet input parameters do not sync to the payroll database.

Duplicate file prevention: To link a record with preexisting payroll entries smoothly, three key fields must align exactly: GovernmentIdentifier (TFN), ABN, FirstName, Surname, DateOfBirth, and Email.
