If a former full-time employee is being reinstated as a casual, you can reactivate their existing employee file rather than creating a new one. Then check their leave balances so their leave entitlements stay accurate.
Helpful Hint
Check whether the client uses Xero before you start. Xero doesn't allow employee reactivation, so Xero clients follow the steps in Xero clients below.
Reactivate the employee
- Click the People menu.
- Click the People list submenu.
- Click the Filter button.
- Tick the Terminated checkbox.
- Click the name of the employee you want to reactivate.
- Click the Reactivate button.
- Choose whether you want to trigger onboarding checklists for the employee.
- Click the Re-activate button.
Important
After reactivation, you'll need to fill out the following information:
- Start date.
- Banking details.
- Pension settings.
- Tax details.
Change the employee's employment type to casual.
Warning
Reactivated employees keep the employment type they had when they were terminated. Make sure you update it after reactivation.
Leave balances
If leave was paid out when the employee was terminated, their balances should already be zero, and no further action is needed.
- Process a pay run for the employee and adjust their leave balances so that they reach zero.
- Import that payslip into HR. This resets the employee's leave balances to zero.
- Check that the leave balances now show zero. The employee has no remaining leave balances.
Helpful Hint
If the pay run was posted in Xero and its payment date is within four days of today, the payslip syncs to HR automatically. Otherwise, import it manually from the Add-ons settings. See Integrate Xero with Employment Hero.
Xero clients
- Create a new employee in Xero.
- Set up the HR file in one of two ways. Create a new HR file for the employee, or contact Employment Hero support and ask us to map the existing HR file to the new Xero file.
- Check the leave balances, and correct them if needed, using the steps in Leave balances above.
Further information
No. Payroll is happy with this process, so no new payroll file is required.
If the employee had a payroll ID before termination, they get a new one when their profile is reactivated. If they didn't have one, the Payroll ID field stays blank, but a new payroll record is still created.
Xero doesn't allow employee reactivation, so a new employee needs to be created in Xero. See Xero clients above.
