How to check an employees work eligibility

Available for the following plans: Lite, Plus, Unlimited HR, Essentials, Engage, Elite, Unlimited HR+Payroll
Available for the following HR plans: Standard, Premium, Platinum

Ensuring your employees have the right to work in Australia is essential for your organisation. You can use our automated VEVO check to verify new employees' visa details and confirm their work eligibility. You can also use this feature to upload supporting documentation, edit passport information, and more. If you are on a premium or platinum plan, you can use the Work Eligibility report to run bulk VEVO checks.

Check an employee's right to work

Run a VEVO check

Important

If you are on a premium or platinum plan, you can view historical VEVO checks. If you are on a Standard plan, you can only view the most recent check. Only Admins/Owners users of Employment Hero can run a VEVO check.

  1. Click on the   Personnel menu.
  2. Click on the Employees submenu.
  3. Select the employee who requires a check.
  4. Click the Work Eligibility button.
  5. Click Run Check button.

Employee consent acknowledgement

When employees complete their work eligibility information and enter their passport details, they are shown an additional acknowledgement which they can choose to tick, similar to signing an acknowledgement on a physical form. Employees can still submit their information if this acknowledgement is not ticked.

If an employee has not ticked this acknowledgement, a warning will display when you run a VEVO check via this Work Eligibility tab or via the Work Eligibility report, informing you that the employee has not provided explicit permission to run the check.

When this warning displays, you can choose to skip the employee to exclude them from the check (so you can have a further conversation with them if needed), or you can choose to proceed with the check. You may still be able to proceed because organisations differ in their internal processes - for example, you may have already received overarching permission via employment contracts, verbally during hiring, may not require explicit permission, or the information may have been entered directly by an admin user and therefore no acknowledgement was provided. The option you select will depend on your own internal policies and processes.

Set up notification reminders for when a visa expires
  1. Click the Settings menu.
  2. Click the Email Settings submenu.
  3. Click the Visa Expiry option.
  4. Toggle on the notifications button.
  5. Choose who will be notified when a visa expires.
  6. Click on the On the Day button.
  7. Add in the number of days.

Add a work eligibility document

Add a work eligibility document
  1. Click the   People menu.
  2. Click the Employees submenu.
  3. Select the employee that needs a document added.
  4. In the Employment Records box, click the Work Eligibility tab.
  5. Click the   Add Document button.
  6. Click or drag the required file onto the Upload tile.
  7. Click the Save button.

Manage work eligibility documents

View documentation
  1. Click the   Personnel menu.
  2. Click the Employees submenu.
  3. Select the employee whose documentation you wish to view.
  4. In the Employment Records box, click the Work Eligibility tab.
  5. Click the document you want to view.

Edit passport information
  1. Click the   Personnel menu.
  2. Click the Employees submenu.
  3. Select the employee that needs their passport updated.
  4. In the Employment Records box, click the Work Eligibility tab.
  5. Click the   Edit button.
  6. Make the required changes and then click the Save button.

Deleting documents
  1. Click the   Personnel menu.
  2. Click the Employees submenu.
  3. Select the employee that needs a document deleted.
  4. In the Employment Records box, click the Work Eligibility tab.
  5. Click the Delete button.
  6. Click the Delete button on the confirmation popup.

Further information

Definitions: VEVO checks
Success. This means the check has been successful. You can click the View button to view its details.
Failed. This means the check has failed and could mean the details entered are incorrect or invalid.
