Configure and customise your organisation emails

Available for the following plans: Lite, Plus, Unlimited HR, Engage, Elite, Unlimited HR+Payroll
Available for the following HR plans: Premium, Platinum
Available for the following User Access level: Admin    

The Email Notification Settings feature provides you with three areas to configure. These are alerts, tasks, and reminders. The first two areas, alerts and tasks, are all notifications to the employee, i.e., the employee gets notified when their timesheets receive approval, when they receive a pay slip, and so on. With reminders, you can choose the user group that will receive these notifications and also at what time this notification will go out from Employment Hero.

Warning

The settings enabled by a user within the Notifications Settings feature overrides the settings enabled by an admin within the Organisation Emails feature.

Getting started

Configure reminder email notifications
  1. Click the Settings menu.
  2. In the Notifications section, click Organisation Emails.
  3. Under Reminders, click the feature that needs reminders configured.
  4. Turn the Notifications toggle switch to the On position.
  5. Select the desired role that will receive a notification from the following options:
    • Owners.
    • Admins.
    • Payroll admins.
    • Primary manager.
    • Secondary manager.
  6. Complete the When Would They Be Notified section.

    Helpful Hint

    If there is no period set for the reminder notification, the platform will not send an email. Use the  Add a Reminder button to add a field and the  button to remove a field.

    Important

    The notification timeframe for reminder notifications has a maximum limit of 101 days. If you attempt to set a timeframe beyond 101 days, the system will cap the value at 101 days.

  7. Click the Save button.

Enable alert email notifications
  1. Click the Settings menu.
  2. In the Notifications section, click Organisation Emails.
  3. Under Alerts, click the feature that needs notifications enabled.
  4. Turn the Notifications toggle switch to the On position.
  5. Click the Save button.

Enable task email notifications

Helpful Hint

The HR platform will send reminder emails once a week to all employees that have outstanding compliance requirements, such as acknowledgement of required policies and any outstanding certifications.

  1. Click the Settings menu.
  2. In the Notifications section, click Organisation Emails.
  3. Under Tasks, click the feature that needs notifications enabled.
  4. Turn the Notifications toggle switch to the On position.
  5. Click the Save button.

Removing data

Disable alert email notifications
  1. Click the Settings menu.
  2. In the Notifications section, click Organisation Emails.
  3. Under Alerts, click the feature that needs notifications disabled.
  4. Turn the Notifications toggle switch to the Off position.
  5. Click the Save button.

Disable task email notifications
  1. Click the Settings menu.
  2. In the Notifications section, click Organisation Emails.
  3. Under Tasks, click the feature that needs notifications disabled.
  4. Turn the Notifications toggle switch to the Off position.
  5. Click the Save button.

Customising email templates

The Customising Email Templates feature allows you to clone an existing template, customise its content, and insert the required pre-filled variables. Additionally, you can preview the email's appearance to end users and activate a cloned email to replace the default platform email. 

Important

Not all emails can be customised at this time. You can currently customise onboarding, tasks and milestone reminder email templates. The development team is currently developing more customisable template options.

Default email templates cannot be edited.

Add a customised email template
  1. Click the Settings menu option.
  2. In the Notifications tile, click Email Templates.
  3. On the email notification topic of your choice, click on the downward-facing arrow.
  4. Click on the pen icon.
  5. Click on the 3 dots on Custom Template.
  6. Click on Edit. 
  7. Customise the email as required.

    Helpful Hint

    Refer to the below section, What do the editing symbols mean?, for a list of all the editing options available. Not sure what to write? If you are on our Platinum Employment Hero plan, you can type a few points in, then click   to have our AI help you generate a draft message. You will be able to refine the draft as you see fit before you submit the content.

  8. Click the Save Changes button.
  9. Click on Enable to enable your template to be used.
  10. If you want to test the email, click on Send Test.
  11. If you want to view the custom email, click on View.

Reminders settings: Organisational level

The Email Notification Settings feature allows you to customise the reminders that your organisation sends out and includes the ability to choose which user will receive the reminder.

Reminder Settings: Individual Level

The Notification Settings section allows you to turn on or off personal notifications. Please note, the selection made by a user within the Configure the emails you receive and their frequency feature overrides the selections made by an admin within the Email Notification Settings feature.

Can I set up probation emails?

Yes, you can set probation emails with this feature. Under the Reminders section, select the End of Probation option and then complete the Who Will be Notified and When Will they Be Notified sections. Lastly, click the Save button and you will then start to receive end-of probation reminders for your employees via email.

What do the editing symbols mean?
Icon Name Description
Bold Bold, boldface, or bold font are any text darkened to help emphasise written information.
Italics A style of text in which the letters lean to the right
Alignment/Align A term used to describe the placement of text on the screen
Hyperlink An element in your email that links to either another part of the email or to another document altogether
Variables A list of data points that you can use to pull information from your HR platform, such as an employee's first and last name or your business name
