Manage Documents in Payroll Classic

Available for the following Payroll plans: Standard, Premium, Core Payroll 
Available for the following user access levels: Admin

In this article you will learn how to manage documents in your payroll platform. This covers how to add, edit and delete documents, edit visibility settings and change Employee Acknowledgements and Notification Settings.

Add, Edit and Delete Documents

  1. Log into your Payroll platform.
  2. Select Payroll Settings from the Business menu.
  3. Select Documents from the Business Settings Side Menu.
  4. To add Document Click Upload Document. 
  5. In the Create Document panel click Add document to attach your file. Supported formats let you centralise PDFs, Word files or images for employee access. Select what file you wish to upload, and select upload.

  6. Next Select visibility and Notification Settings and Click Save.

  7. To Edit, Open documents, find the document you wish to edit and click the Pencil icon. 

  8. To Delete, Open documents, find the document you wish to delete and click the Trash Bin icon and confirm deletion.  

Visibility Settings

  1. After adding a new document, or when you select Edit you have several options for visibility on a document. 
  2. Toggle Private to limit access to named groups or locations. Use this to keep payroll or performance records restricted to authorised users.
  3. Check Visible to all employees to instantly share the document with everyone. This is ideal for company policies, handbooks and broad announcements.

  4. If you don’t select Visible to all, pick at least one Employee Group or Location. The form will prompt you to choose groups to avoid accidental broad distribution.

  5. Click Save.

Notification Settings

  1. When you add a new document, or select Edit, there is the option to Use Send notification to employee to email recipients. Notifications reduce admin follow-up and prompt timely reviews or signature captures.
  2. When you select this option you are then asked to select "send now" or "pick send date'
  3. Next Pick how often you want to send the reminder. 
  4. Click Save.
