Staying in touch with candidates throughout the hiring process is essential for a positive candidate experience. Employment Hero's ATS provides two ways to communicate with job applicants: direct messaging through the Employment Hero Work app for instant communication, and email for more formal correspondence. Both options are easily accessible from the candidate profile, allowing you to reach out without losing context of the candidate's information.

Direct messaging is not available for all candidates. If this option is unavailable for a specific candidate, you can use the email option instead to reach out to them.

Important

Direct messages are sent to the candidate via the Employment Hero Work app, not as text messages. Candidates will receive a push notification informing them they have a new message in the app.

Communicating with candidates

Send a direct message to a candidate
  1. Click the  Recruitment menu.
  2. Click the Jobs tab.
  3. Click on the job role you want to view.
  4. Click on the candidate you want to message from any of the hiring stages.
  5. The candidate profile will open on the right side of the screen.
  6. Click the   message icon in the toolbar at the top of the profile.
  7. A messaging panel will appear on the right side, while keeping the candidate profile visible.
  8. Type your message in the message field.

    Helpful Hint

    You can use the formatting toolbar to bold, italicize, underline text, or add bullet points and links to your message.

  9. Click the Send message button.

Warning

Direct messaging is not available for candidates who were manually added to the job listing. If you receive a notification that messaging is unavailable, use the email option instead. Direct messaging is also unavailable for candidates who have been blocked, deleted, disqualified, or hired.

Send an email to a candidate
  1. Click the  Recruitment menu.
  2. Click the Jobs tab.
  3. Click on the job role you want to view.
  4. Click on the candidate you want to email from any of the hiring stages.
  5. The candidate profile will open on the right side of the screen.
  6. Click the   email icon in the toolbar at the top of the profile.
  7. An email panel will appear on the right side, while keeping the candidate profile visible.
  8. Complete the following fields:
    • From: Select the email address you want to send from (if you have multiple configured).
    • To: The candidate's email address will be automatically populated.
    • Template (Optional): Select an email template if you want to use a pre-written message.
    • Subject: Enter the email subject line.
    • Message: Type your email message.

    Helpful Hint

    You can use the formatting toolbar to format your email text, add bullet points, insert links, or attach files. Click Save Template if you want to save this email as a template for future use.

  9. Click the Send email button.
