Human-in-the-Loop: You are the decision maker
HeroAI is designed to be your productivity partner. It works in two primary ways:

  • On-Demand: It acts on your specific instructions and will not perform tasks unless you direct it to.
  • Proactive Insights: It may surface observations or "AI Insights" based on patterns in platform data and user requests. These are suggestions designed to bring important information to your attention. See more information about AI insights here.

In both cases, the human remains the decision-maker. Hero AI provides the data and the draft, but it does not hit "submit" or "approve" without your final click. Hero AI is a productivity feature, not a professional adviser. We recommend reviewing all AI-generated insights and outputs and using your own judgement for all important management and compliance decisions.

Your data stays secure: all data is processed within our Employment Hero secure ecosystem. No data is stored outside of Employment Hero's platform. For a full overview of our security standards, certifications, and compliance practices, visit our "Trust Centre".

Employees

Access Hero AI to view policy documents and personal data
  1. Log in to Employment Hero.
  2. Click the Ask Hero AI button in the top right-hand side of the screen to open Hero AI.
  3. You'll see suggested questions to help you get started. Type your question into the text box (e.g., "How much leave do I have?" or "What is the company WFH policy?"), then click the Ask button or press Enter.
  4. Hero AI will give you an answer and may list out some extra resources, such as help centre articles or links to your personal profile. You can provide feedback using the That helped πŸ‘ or Wasn't helpful πŸ‘Ž buttons.
Access Hero AI to ask a general HR or work enquiry
  1. Log into your Employment Hero.
  2. Click the Ask Hero AI button in the top right-hand side of the screen to open Hero AI.
  3. You'll see suggested questions to help you get started. Type your HR/general work question into the text box, then click the Ask button or press Enter. Employers

Access Hero AI to take action or view policy documents
  1. Log into your Employment Hero platform.
  2. Click the Ask Hero AI button in the top right-hand side of the screen to open Hero AI.
  3. You'll see suggested questions to help you get started. Type your question or action request into the text box (e.g., "Approve John's leave request" or "What is our parental leave policy?"), then click the Ask button or press Enter.

What types of questions can I ask Hero AI?

Hero AI searches Help Centre articles, company policies, and your personal employment data. It can answer questions such as:

  • Policy: "What is my company's parental leave policy?" or "How is long service leave calculated?"
  • Personal Data: "What are my bank and tax details?", "Show me my pay information," or "When is my next performance review?"
  • Rostering: "What are my roster details for this week?", "Show me John Doe's roster", "How many hours did I work this week?", "How many hours did (my employee) work this week?", "Show me my timesheet entries", or "Show me empty shifts"
  • Pay: "What is my salary history?"
  • Leave: "Show me my leave balance" or "What will my leave balance be on [future date]?"
  • Benefits: "What are my benefits and perks?"
  • Personal: "Show me my employment records", "Show me my employment history", or "Show me my work eligibility"

What can Hero AI tell me about goals?

Employees and managers can ask Hero AI directly about goals and get clear, conversational answers without having to browse through the goals section of the platform.

Employees can ask Hero AI to:

  • Summarise current goal progress, including key results and how much of each target has been reached β€” for example: "Summarise my current goal progress."
  • Identify which goals are at risk or behind, along with their due dates β€” for example: "Which of my goals are behind?"
  • Get a recommendation on what to focus on next, prioritising the most urgent or at-risk items β€” for example: "What should I focus on next?"

Managers can ask Hero AI to:

  • List a direct report's current priorities with progress and risk status ahead of 1:1s β€” for example: "What are [employee name]'s current priorities?"
  • Summarise an employee's overall performance against their goals β€” for example: "Summarise [employee name]'s performance against their goals."
  • Identify which goals across the whole team are at risk, grouped by team member β€” for example: "Which goals across my team are at risk?"

Helpful Hint

All goal query responses are scoped to data you are already permitted to see. Employees only see their own goals, managers only see goals within their reporting structure, and admins can query across the organisation. This follows the same access controls as the rest of the Employment Hero platform.

Does my company have to upload policy information to Hero AI?

Yes. For policy-specific questions, your company must have the information uploaded. However, personal data (leave, pay, etc.) is pulled directly from your Employment Hero profile.

What kind of information will I see?

Hero AI adheres to strict access controls. You can only see policy information or personal data (like bank, tax, and super details) that you are already eligible to see based on your User Access and permissions.

How does Hero AI respect my permissions?

Hero AI respects existing platform permissions and does not override or bypass permission models. Users can only:

  • View information they already have access to
  • Perform actions they are authorized to perform

Your capabilities within Hero AI vary based on:

  • Role: Employee, Manager, Admin, or Owner
  • Country: Location-specific access rules
  • CSS permissions: Custom security settings configured for your organisation
  • Enabled features: Feature flags activated in your organisation

This ensures that Hero AI maintains the same security and access controls as the rest of the Employment Hero platform.

Note that no data is stored anywhere but within our secure ecosystem. Personal information and client data are purely processed by a Large Language Model (LLM) API and are never used for model training purposes.

How do I view my conversation history?

To view your conversation history with Hero AI:

  1. Click Ask Hero AI.
  2. On the popup window, click the View History (represented by a clock) button.
  3. Select one of the three filters: All, Hero AI, or Support (you will need to have access to raise support tickets to view the Support filter).
  4. Select the conversation entry (e.g. How do I apply for leave?).
  5. Scroll through your logged conversation to view the full transcript.
