For organisations under HR classic plans, all organisations will see the option to set up occupational sick leave (OSL). This is available to UK-based customers on the Payroll classic Premium plan.
To set up OSL for your employees, follow the 4 main steps below.
Getting started
- Log into Employment Hero.
- Click the Settings menu.
- Under Payroll Settings, click the Leave Settings submenu.
- Click the Add Leave Type button.
- Complete the following fields:
- Leave Type Name.
- Leave Type Setup - select Occupational sick leave
- Leave Balance Tracking - select Only track leave taken
- Unit Type - select Days
- Return to work form (optional).
Helpful Hint
When you have selected to create an occupational sick leave type, once created, please ensure that you notify your payroll admin to add the necessary service and payment band settings in payroll.
If the payment bands are not set up, it results in an error when you try to access an employee's tab in payroll. See the next step for how to do this.
- Click on the Save button.
- To assign the policy to certain employees, drag their name from the Available column to the Selected column.
Helpful Hint
You can click the >> button to move all employees to the Selected column.
- Click the Save button.
- Log into your payroll platform.
- Click on Payroll Settings.
- Click on Leave Categories.
- Click on the Occupational Sick Leave type which has synced over from your HR platform.
- Add the following details to complete the payment bands:
- Name
- Leave category type
- Number of service bands
- Service length
- Number of payment bands
- Service length
- Unpaid days at the start of sick period
- Days worked before recalculating
- Payment setup
- Click Save.
Important
Only an admin or manager can create an occupational sick leave request on behalf of an employee.
- Log into your Employment Hero HR platform.
- On the left-hand side menu, click on the Time option.
- Under the Leave subheading, click on Leave Management.
- Click on the + Add New Leave Request button.
- In the Create Leave Request modal, add the following details:
- Who is this leave request for?
- Personnel
- Leave type - select Occupational sick leave
- Start date
- Leave duration
- End date
- Note (optional)
- File upload.
- Click Approve.
Helpful Hint
You will be able to see the occupational sick leave request in Leave Management in the HR platform. In the payroll platform, you will need to view this in the employee's file. See steps below for how to view the occupational sick leave request in the payroll platform.
- Log into your payroll platform.
- Click on Employee.
- Click on List.
- Choose the employee for whom you have created an occupational sick leave request.
- On the left-hand side menu, click on Statutory/Occupational Pay.
- Here you will see the statutory/occupational sick pay details for this employee.
