Create and manage occupational time off types

Available for the following plans: Employment Plus, Employment Unlimited
Available for the following HR classic plans: Standard, Premium, Platinum
Available for the following user access levels: Manager, Admin

Occupational time off is a discretionary benefit offered by some employers to employees who are unable to work due to illness, pregnancy, new parenthood, etc. This is offered in addition to statutory time off, and often includes additional payments on top of the legally-mandated statutory pay. Unlike statutory time off and pay, occupational time off and pay are not legal requirements. Occupational time off and pay are determined by the employer's policies and employment contracts.

Users may create occupational sick time off and occupational maternity time off categories in Employment Hero and use length of service to calculate an employee’s entitlements and payment bands.

Please note that only one policy can be created per occupational time off type. Also, the sickness entitlement period is set to the default value of 12 month rolling, and can be configured between 12 and 24 months via Time Off Settings Advanced Settings Sickness entitlement period. Getting started

Create an occupational time off type

  1. Log into Employment Hero.
  2. Click Settings.
  3. Click the Time Off menu option.
  4. Click the Time Off Category tab. 
  5. Click the Add Time Off Type button.

  6. Complete the following fields:
    • Time Off Type Name - add your custom name.
    • Time off Balance Tracking - select Track balance accrual and time off taken.
    • Time Off Type Set up- select Occupational time off.
    • The occupational time off type field dynamically appears:
      • Time off is at the default value of Sick if you wish to create an Occupational Sick Leave (OSL) type.
      • Change this to Maternity if you wish to create an Occupational Maternity Leave (OML) type.
    • The Unit Type and Require an end date on time off request submission fields dynamically disappear as they cannot be configured for Occupational time off.
    • The remaining fields can be configured at your discretion. 
  7. Click the Save button.

Manage Occupational Sick Leave (OSL) time off policy

  1. Following on from the previous step, add Time Off Policy Name.
  2. Under the Pay Bands section, complete the % of income value for the pre-existing Pay Band 1. This is the percentage of salary to be paid to the employee for that particular band.
  3. (optional) Click on Add Pay Band.
  4. (optional) Enter the % of income for any additional pay bands.
  5. (optional) Delete any of the additional pay bands if needed.
  6. Accrual Starts: Enter the number of years/months that the accrual of occupational sick time off will commence (e.g. 0 years after start date if the employee is entitled to occupational sick pay from day 1 of employment).
  7. Amount Accrued: Enter the number of days entitlement at each percentage against each pay band.
  8. Select Pay Statutory Sick Pay (SSP) on top of this payment. Leave this unselected if you want SSP records to be automatically created and offset against occupational sick pay (OSP).
  9. (optional) Click Add Tier if you award an additional balance to your employees based on length of service, then repeat steps 6–8 for additional tiers.
  10. (optional) Delete any of the additional pay bands if needed.
  11. Unpaid days at the start of sick period: Enter the number of days at the start of each sickness period that will not be paid.
  12. Days worked before recalculating: The number of days the employee has to work before OSP can become payable again. If you enter 5, after the employee has had a period of sickness then returned to work, the employee would need to work 5 days before they can be off sick and paid for the sickness.
  13. Click Save.

  14. Assign this time off type to your employees by sliding across the employees you wish to add to the Selected column. You can click the >> button to move all employees to the Selected column.

  15. Click the Save button.

Once the time off type and policy is saved in HR, it will be synchronised to Payroll. Future edits to this time off type can be made in HR.

Manage Occupational Maternity Leave (OML) time off policy

  1. Add Time Off Policy Name.

  8. Configure Pay Statutory Maternity Pay (SMP) on top of this payment. Leave this unselected if you want SMP records to be created automatically and offset against occupational maternity pay (OMP).
  9. (optional) Click Add Tier if you award an additional balance to your employees based on length of service, then repeat steps 6–8 for additional tiers.
  10. (optional) Delete any of the additional pay bands if needed.
  11. Click the Save button.

  12. Assign this time off type to your employees by sliding across the employees you wish to add to the Selected column. Assign individual employees by using the drag and drop method, or assign all employees by clicking on the double arrows to the right.

  13. Click the Save button.
Submit an occupational sick time off request
  1. Log into Employment Hero.
  2. On the left-hand side menu, click on the Time option.
  3. Click Time Off Management.
  4. Click the + Add New Time Off Request button.
  5. In the Create Time Off Request pop-up box, add the following details:
    • Who is this time off request for?
    • Personnel.
    • Time off type - select the occupational time off type you wish to request.
    • Start date.
    • Time off duration.
    • End date.
    • Note (optional).
    • File upload.
  6. Click the Approve button.

Configure the sickness entitlement period
  1. Log into Employment Hero.
  2. Click the Settings option on the left-hand side menu.
  3. Click the Time Off Settings option.
  4. Click the Advanced Settings tab.
  5. Choose between a 12 or 24 month sickness rolling period for occupational time off entitlements.
  6. With a 12 month rolling period, the platform will look at the 12 months immediately before today’s date (or the start date of a time off request) to calculate time off balances.

  1. Log into Employment Hero.
  2. Click the Time option on the left-hand side menu.
  3. Click the Time Off Management option.
  4. Click the Time Off Balances tab.
  5. The remaining balance will be displayed in the "Remaining" column.

Further information

Does an admin/manager have to submit and then approve the occupational time off request?
Upon submission, when a manager or admin submits a time off request for an employee, it will be automatically approved.
Can I edit an occupational time off request?
The occupational time off request in Employment Hero will no longer be editable once it is paid out in a pay run (same as normal time off requests - it will become locked in Employment Hero).
