Managing your organisation's worksites helps you group employees by location and determine which roles apply to each site.
The Worksites & Positions feature lets you create new worksites from scratch or by copying and editing existing ones. You can also add job positions and manage your records by disabling, enabling, or deleting saved worksites as needed.
You can also use Geofencing to create virtual boundaries around work sites, ensuring employees can only clock in, clock out, or end breaks when they are physically present at the designated location.
Add worksite
- On the main menu, click Settings.
- On the submenu, click Worksites & Positions.
- Click + Work Site.
- On the drop-down menu, select either:
- From existing work site (if you already have a worksite to use)
- New work site (to create a worksite from scratch)

If you selected From existing work site, complete the fields on the Copy from existing work site popup then click Copy. Otherwise, skip to step 6.

- On the Create Work Site form, complete the fields.
- (Optional) Click + Add another position if needed then complete the additional fields.
- Click Save.
Manage worksites
- On the main menu, click Settings.
- On the submenu, click Worksites & Positions.
- Find the work site you want to edit and click its three dots (...) button.
- Select Edit.
- On the Edit details page, edit the field(s) as required.
- Click Save.
Before you can configure geofencing for individual work sites, an admin must first enable the feature at the organisation level. This is a one-time setup.
- On the main menu, click Settings.
- On the submenu, click Clock In & Out.

Locate the Work site geofencing section.
- Toggle the Work site geofencing switch to ON.
- (Optional) Configure the Clocking outside geofence setting to choose how your organisation handles employee clock-outs outside the geofence:
- Prevent employees from clocking out: Employees cannot clock out when outside the geofence boundary. They must return to the work site to complete their shift.
- Enable clock out & add timesheet warning: Employees can clock out outside the geofence, but the entry is flagged with a warning for manager review in Timesheet Management.
Once you enable work site geofencing organisation-wide, work site managers can then configure geofencing for individual work sites.
Geofencing allows you to create a virtual boundary around a work site. When geofencing is enabled, employees can only clock in, clock out, or end breaks when they are within the configured radius of the work site location.
Before you start
To configure geofencing for a specific work site, ensure:
- Work site geofencing is enabled organisation-wide (see "Enable geofencing for your organisation" section above)
- You have the Work Sites & Positions module permission
- Geofencing is disabled by default for each individual work site, even when enabled organisation-wide
Enable and configure geofencing
- On the main menu, click Settings.
- On the submenu, click Worksites & Positions.
- Find the work site where you want to enable geofencing and click its three dots (...) button, then select Edit.

Locate the Enable clocking radius geo fence section on the Edit details page.
Tip for underground work sites
For underground work sites or areas with poor GPS signal (such as dense urban areas), consider setting a larger radius (200m or more) to account for GPS signal variations.
- Toggle the Enable clocking radius geo fence switch to ON.
- Set the clocking radius using one of two methods:
- Text input: Enter a value between 50m and 500m in the radius field. The default is 200m.
- Interactive map: Use the slider on the map to adjust the radius. The circular boundary updates in real-time as you adjust the slider.

Review the circular boundary preview on the map to ensure it covers the intended work site area.
- Click Save to apply the geofencing configuration.
Geofencing constraints
- Radius range: Minimum 50m, maximum 500m
- Default radius: 200m when first enabled
- Boundary shape: Circular
- Location verification: Checked when employees attempt to clock in, clock out, or end breaks
How geofencing works for employees
When an employee attempts to clock in, clock out, or end a break:
- Within the boundary: The action proceeds normally with no additional steps required.
- Outside the boundary: The clock in/out button becomes disabled with a message indicating their distance from the work site (for example, "You are 247 metres from your worksite, move closer to clock in").
- GPS unavailable: The system uses Wi-Fi and cell tower data as a fallback. If no location data is available within 5 seconds, the employee can proceed with clocking but the entry is flagged for manual review.
- On the main menu, click Settings.
- On the submenu, click Worksites & Positions.
- Find the work site you want to copy and click its three dots (...) button.
- Select Copy.

On the Copy from existing work site popup, fill in the fields.
Important
Ensure you select the correct work site from the You are duplicating values from work site field. This determines which work site's information to copy.
If you would also like to copy the selected work site's employees, tick the optional Copy positions checkbox. This unlocks the Copy employees checkbox, which you can then tick.
When you copy a work site, its geofencing configuration (if enabled) will also be copied to the new work site.
- Click Copy.
- On the Create Work Site page, complete the fields.
- (Optional) Click + Add another position if needed then complete the additional fields.
- Click Save.
To disable a work site:
- On the main menu, click Settings.
- On the submenu, click Worksites & Positions.
- Find the work site you want to disable and click its three dots (...) button.
- Select Disable.
- On the Are you sure you want to disable work site? popup, click Confirm.
To enable a work site:
- Scroll to the top of the Work Sites & Positions page and select the Show disabled checkbox.
- Find your disabled work site (which will have a Disabled tag) and click its three dots (...) button.
- Select Enable.
- On the Are you sure you want to enable work site? popup, click Confirm.
Review geofencing data
You can review location information for employee clock entries, including whether they clocked in/out within or outside the geofence boundary.
- On the main menu, click Timesheet Management.
- Use the filters to locate the timesheet entry you want to review.
- Click the specific clock entry row to view its details.
- The clock details screen displays:
- The employee's geotagged location (their GPS coordinates at the time of clocking)
- The work site location
- The configured geofence radius
- An indicator showing whether the clock entry was within or outside the geofence boundary
Geofence compliance indicators
In the Timesheet Management view, entries with geofence-related compliance issues display visual indicators:
- An information icon appears when an employee clocked out outside the geofence
- The mobile location icon displays in red if the clock entry occurred outside the geofence
- The worksite/position icon also displays in red for out-of-geofence entries
- Entries flagged as Manual Review Required indicate cases where location data was unavailable and the employee clocked in/out anyway
Delete data
- On the main menu, click Settings.
- On the submenu, click Worksites & Positions.
- Find the work site you want to delete and click its three dots (...) button.
- Select Delete.
- On the Are you sure you want to delete Work Site? popup, click Delete.
