Understand the benefits of induction material
Reduce new starter anxiety
First-day nerves are real. By providing clear, accessible information, you remove the guesswork for new hires and help them arrive with confidence. For example, you can share information about how to navigate the office, your company's ways of working, who to contact, or even where to get the best coffee.
Boost early engagement
Go beyond standard contracts and policies. Sharing your company culture through videos and personalised messages helps new employees connect with your mission and leadership team before they even attend their first meeting, reminding them of the great culture they have just joined.
Streamline administrative tasks
Save time for HR and managers by centralising "nice-to-know" information. Instead of sending repetitive emails, you can host all supplemental onboarding materials in one place and track completion at a glance.
Quick Launch Video
Manage induction materials, edits, and employee acknowledgements
Before uploading materials, export any existing induction content you wish to transfer. Please ensure files use the following formats: .docx, .doc, or .pdf.
- Click the Compliance menu.
- Click the Induction Content submenu.
- Click the Add Content button.
- Complete the following fields:
- Name
- Do you want to make this required content? Choosing Yes requires digital acknowledgement and sends weekly reminders, while No removes reminder and reporting functionalities.
- What format does this content come in:
- File Upload (.docx, .doc, or PDF)
- Video link (Public, private, or unlisted YouTube video links)
- Click the Save button.
- Configure your sharing settings based on the following options:
- All employees receive the content: Set the Share to Everyone toggle switch to Yes, then click Share.
- Select employees receive the content: Set the Share to Everyone toggle switch to No, filter by Team, Location, Employing Entity, or Individual, then click Share.
Helpful Hint
When you click Share, the selected employees receive an email notification alerting them to the induction content, unless you are in Setup Mode. Keep content bite-sized; videos under two minutes and clear, one-page PDFs yield high engagement rates. If you replace induction content with a newer version, you will permanently lose any supporting documents and employee acknowledgements attached to the previous version.
The induction content document, Fixed Term Contract Information Statement, has been updated to reflect the most recent legislation as of the first of November 2024. The platform prompts employees to acknowledge the document every six months to maintain ongoing compliance.
- Click the Compliance menu.
- Click the Induction Content submenu.
- Click the Actions button.
- Click the Edit button.
- Make the required changes and then click the Save button.
Helpful Hint
Altering your Induction Content prompts any assigned employees to acknowledge the document again, offering a perfect opportunity for a refresh.
When logging in for the first time, you will be prompted to complete any shared induction content. Acknowledging content reminds you of the unique culture you have joined, including perks like the Employment Hero Work app space.
- Click the Compliance menu.
- Click the Induction Content submenu.
- Click on the induction material that needs acknowledging.
- Read the content or watch the video and then click the Acknowledge button.
Re-assign induction material to users
Use this feature when you have major cultural or policy shifts to ensure existing staff stay up to date and acknowledge new standards. This keeps your entire workforce aligned across teams and physical locations.
- Click the Compliance menu.
- Click the Induction Content submenu.
- Click the Actions button.
- Click the Shared To button.
- Update the settings according to your new audience needs:
- All employees receive the content: Set the Share to Everyone toggle switch to Yes, then click Share.
- Select employees receive the content: Set the Share to Everyone toggle switch to No, modify your filters by Team, Location, Employing Entity, or Employee, then click Share.
Remove induction material from your library
If you no longer need historical documents or structural data versions, you can clear them directly from the dashboard view.
- Click the Compliance menu.
- Click the Induction Content submenu.
- Click the Actions button.
- Click the Delete button.
- Click the Delete button to confirm.
Create an induction content report
Once content is live, you can track which employees have acknowledged required induction items. This helps ensure that no one misses vital cultural or operational information. Note that you can only report on items marked as required, as non-mandatory entries do not demand confirmation profiles.
