Manage your Google and Microsoft 365 account integrations in account settings

The Linked Accounts section in your account settings is where you connect Google or Microsoft 365 for three independent integration types — Sign-in, Mail, and Calendar. Once connected, each integration is automatically shared across all Employment Hero features that use it, so you only need to connect once.

Previously you may have connected your calendar separately within individual features such as Recruitment. With Linked Accounts, that connection is centralised — one connection covers every feature that needs it.

Integration What it does
Sign-in Lets you log in to Employment Hero using your Google or Microsoft 365 account instead of a separate username and password (Single Sign-On / SSO).
Mail Allows Employment Hero features to send emails on your behalf from your connected Google or Microsoft 365 account — for example, sending recruitment communications.
Calendar Syncs scheduling features — such as recruitment interview invites and 1:1 meetings — directly to your Google or Microsoft 365 calendar.

Each integration type is independent — you can use a personal Gmail for Sign-in, a Microsoft 365 work account for Mail, and a different Google account for Calendar.

Important: Integrations are organisation-specific

Your Linked Accounts connections are scoped to each organisation individually. If you belong to more than one organisation in Employment Hero, you will need to connect your integrations separately for each one. Switching to a different organisation will show its own Linked Accounts section, which may have different connections or show Not connected even if you are connected in another organisation.

Connect an integration from account settings

You can connect a Google or Microsoft 365 account for any or all three integration types — Sign-in, Mail, and Calendar — independently. Each can use a completely different account.

Steps to connect an integration
  1. Log in to Employment Hero and click your name at the top left of your dashboard.
  2. Click Account Settings.
  3. Locate the Linked Accounts section. You will see three rows: Sign-in, Mail, and Calendar. Any integration that has not yet been connected will show Not connected alongside a Connect button.
  4. Click Connect on the row for the integration type you want to set up.
  5. When prompted, choose your provider — Google or Microsoft 365.
  6. You will be taken to your chosen provider's authorisation screen. The permissions requested are scoped only to the integration type you selected. Review and grant access.
  7. After granting access, you will be returned to account settings. The row for that integration will now display your connected email address and the provider logo, confirming the connection was successful.

Helpful Hint

If you deny consent or the authorisation flow fails for any reason, you will be returned to account settings with the message "Connection failed. Please try again." The integration row will remain as Not connected and you can try again at any time.


Disconnect an integration from account settings

Disconnecting an integration removes it from all Employment Hero features immediately. Before you confirm, you will see exactly which features will be affected.

Steps to disconnect an integration
  1. Log in to Employment Hero and navigate to your account settings.
  2. Locate the Linked Accounts section and find the integration row you want to disconnect. Connected rows show your email address, the provider logo, and a Disconnect button.
  3. Click Disconnect on the relevant row.
  4. A confirmation dialogue will open listing the specific Employment Hero features that currently use this integration (for example, "1:1 meetings, Recruitment interviews"). It will also confirm: "Existing calendar events will not be removed."
  5. Review the impact, then click Disconnect to confirm, or click Cancel to keep the integration connected.
  6. Once confirmed, the integration is disconnected and the row reverts to showing Not connected with a Connect button.

Helpful Hint

Disconnecting an integration removes it from all features immediately, but any calendar events already created will remain on all participants' calendars. No new events will be generated until you reconnect.


Connect an integration from within a feature

If you try to use a feature that requires a calendar integration and you have not yet connected one, you will see a prompt directly within that feature — you do not need to navigate to account settings first. This path is available for Calendar only, as Mail and Sign-in do not surface an inline prompt.

Steps to connect your calendar integration from within a feature
  1. Navigate to the feature that requires a calendar connection (for example, creating a Recruitment interview).
  2. If your calendar integration is not yet connected, you will see the message: "Connect your calendar to enable this feature." with a Connect button and a secondary Go to account settings link.
  3. Click Connect directly on that prompt.
  4. When prompted, choose your provider — Google or Microsoft 365.
  5. You will be taken to your chosen provider's authorisation screen. Grant access to complete the connection.
  6. After granting access, you will be returned to the feature with your calendar integration now connected. The integration will also appear as connected in the Linked Accounts section of your account settings.

Disconnect an integration from within a feature

You can also disconnect a calendar integration directly from within the feature you are using, without navigating to account settings. When you disconnect from within a feature, you will be redirected to your Account Settings page where a confirmation modal will appear, showing which other features will be affected before you confirm.

Steps to disconnect your calendar integration from a feature
  1. Navigate to the feature where the calendar integration status is displayed.
  2. Click Disconnect on the integration status indicator within that feature.
  3. You will be redirected to your Account Settings page, where a confirmation modal will appear with the message: "Disconnecting your calendar will also remove calendar sync from all Employment Hero features using it. Existing events will not be removed." The features currently using the calendar integration will be listed by name.
  4. Click Disconnect to confirm, or click Cancel to keep the integration connected and continue using the feature normally.
  5. Once confirmed, the calendar integration is disconnected at the account level. The feature will update to show the Connect prompt, and all other features that used the integration will immediately lose calendar sync.

Can I use a different account for each integration type?

Yes. Sign-in, Mail, and Calendar are completely independent. You can connect a personal Gmail for Sign-in, a Microsoft 365 work account for Mail, and a separate Google account for Calendar — each integration stores its own provider and email address separately.

Which features use the Calendar integration?

Once connected, your Calendar integration is shared across all Employment Hero features that require calendar access. These currently include:

  • Recruitment interview scheduling
  • 1:1 meetings

When you disconnect, the confirmation dialogue will always list the specific features that will be affected at that time.

I belong to more than one organisation — do I need to connect separately for each?

Yes. Linked Accounts connections are organisation-specific. If you belong to more than one organisation in Employment Hero, you will need to connect your integrations separately for each one. To connect for a different organisation, switch to that organisation first, then navigate to Account Settings > Linked Accounts and connect from there.

What happens if I already had a calendar connected through Recruitment?

If you had a calendar or mail account connected through Recruitment before this update, your existing connection has been automatically carried across to the Linked Accounts section. You will see your calendar integration row already showing your connected email address and provider — you do not need to reconnect.

What happens to existing calendar events if I disconnect?

Existing calendar events remain on all participants' calendars after you disconnect — they are not deleted. However, no new calendar events will be created for that integration until you reconnect.

What if I close the browser tab during the authorisation process?

If you close the browser tab before completing authorisation with your provider, no connection is saved. The integration row will remain as Not connected when you next visit account settings, and you can start the process again at any time.

How is this different from Microsoft 365 software provisioning?

These are two separate integrations for different purposes:

  • Linked Accounts (this article) — a personal, per-user integration that connects your own calendar, mail, or sign-in to Employment Hero features. Every individual user manages their own.
  • Microsoft 365 software provisioning — an admin-level integration that allows HR administrators to create, manage, and deactivate Microsoft 365 accounts for employees directly from the Employment Hero platform.

Disconnecting one does not affect the other.
